Payment Processing Advisor / Customer Service Representative

Overview

PBS Systems is hiring a full-time, permanent Payment Processing Advisor in Calgary, Alberta. This position is based onsite and reports to the Team Lead, Payment Processing. The role focuses on supporting the payment processing suite, including point-of-sale terminals and Express Pay, while helping both clients and internal teams use these tools effectively.

Role Summary

In this position, you will manage setups, training, troubleshooting, and ongoing support for payment processing products. You will work with dealership contacts, internal teams, and onsite installation groups to ensure payment machines and online payment systems are configured properly and running smoothly.

Responsibilities

• Handle support requests and resolve issues received by phone or email.
• Create service tickets and investigate problems related to POS terminals and Express Pay.
• Process incoming orders for POS and Express Pay promptly.
• Assist onsite teams and dealerships with installing and setting up payment processing equipment.
• Configure online payment systems as needed.
• Lead training sessions for dealership staff, demonstrating product features and usage.
• Coordinate with internal teams to research issues and find solutions.
• Keep process and support documentation current as procedures change.
• Use knowledge of the DMS software to better assist customers.
• Continue learning the software and related company departments through ongoing training.

Requirements

• Background in payment processing, accounting, or another technically related area is considered an advantage.
• High school diploma is required.
• Good working knowledge of Microsoft Office Suite is needed.
• Strong customer service skills are essential.
• Ability to diagnose problems and troubleshoot effectively.
• Strong written documentation skills.
• Good time management, organization, and self-management abilities.
• Ability to juggle multiple tasks and set priorities well.
• Willingness to work occasional Saturdays or Sundays to support installations.
• Willingness to work occasional Canadian or U.S. holidays depending on installation needs.
• Occasional weekend and holiday work is part of the role.
