Role Overview
The Office Admin cum Executive Support role is focused on keeping daily office operations running smoothly while also delivering high-level secretarial and administrative assistance to senior leadership. The position calls for strong organization, communication, coordination, and the ability to handle sensitive information with care and professionalism.
Executive Support
- Deliver full secretarial and executive assistance to the Managing Director, including calendar planning, meeting coordination, and travel arrangements.
- Organize internal and external meetings, including logistics for both physical and virtual sessions.
- Arrange travel plans such as flights, hotel stays, and visa processing.
- Process expense claims, track submissions, and follow through on approvals.
Office Administration
- Serve as the main contact for office and facilities-related matters.
- Manage day-to-day office functions, including reception, courier handling, office supplies, invoicing, and vendor coordination.
- Work with HR and IT to support smooth onboarding and offboarding activities.
- Keep office records, filing systems, and administrative databases current and accurate.
- Look for ways to improve workflows and overall efficiency.
- Coordinate company events such as MD gatherings, SKO, and Dinner & Dance.
- Handle corporate renewal requirements, including BizSafe and Green Mark certifications.
- Provide support for cross-functional initiatives, team projects, and other administrative tasks as needed.

Qualifications and Requirements
- A Diploma or Degree in Business Administration or a related field is preferred.
- At least 3 years of experience in office administration or executive support is required.
- Strong written and spoken communication skills are needed.
- Comfortable using MS Office tools, including Word, Excel, PowerPoint, and Outlook.
- High attention to detail, strong organization, and the ability to handle confidential information discreetly are essential.
- A positive mindset, initiative, and the ability to work independently as well as within a team are important.
