Role overview
This position calls for a detail-oriented professional who can take initiative, maintain ownership of document processes, and keep project information moving smoothly. The role focuses on monitoring documentation flow, tracking pending actions, and improving the organisation, quality, and coordination of project records.
Key duties
- Handle the full flow of project documents, including transmittals, RFIs, reports, technical submissions, and correspondence coming in and going out.
- Keep document logs, trackers, registers, and records accurate so the project trail remains clear and traceable.
- Apply correct numbering, version tracking, naming rules, and filing standards at all times.
- Carry out document administration tasks in SharePoint, PMIS, and shared repositories while keeping folders structured in line with BDC requirements.
- Manage archiving and secure storage of project files so records can be retrieved easily and remain audit-ready.
- Compile and prepare documents from draft or partial inputs, ensuring final submissions meet required quality expectations.
- Check deliverables before submission for completeness, formatting, page numbering, spelling and grammar, and alignment with approved templates.
- Follow up with consultants, contractors, and internal teams to close pending submissions, overdue replies, and missing information.
- Maintain compliance with project procedures, confidentiality rules, and recognised document control practices.
Requirements
- Hands-on proficiency with the Aconex document management platform.
- At least 8 years of relevant experience.
- Strong computer literacy, especially across Microsoft Office applications.
- Excellent organisation and filing abilities with strong attention to detail.
- Good time management skills and the ability to prioritise multiple tasks effectively.
- Strong written and spoken communication skills in both Arabic and English.
- Prior experience in document control, ideally within construction or engineering environments.
- Experience using electronic document management systems.
- Bachelor’s degree in Business Administration, Information Management, or a closely related discipline.
- Understanding of documentation workflows used in construction or engineering projects.
- Ability to work effectively in a fast-moving, deadline-sensitive setting.
- Proactive approach to work with solid problem-solving ability.
