About the Role

This contract opportunity is for a seasoned Executive Administrator who can deliver senior-level administrative and operational support in a fast-moving technology setting. The position calls for someone who can stay ahead of shifting priorities, forecast what leaders need before they ask, and act as a dependable partner to executives and key stakeholders. The role is remote, with a preference for candidates working in the EST time zone.

What You’ll Do

  • Oversee complex executive calendars with careful prioritization so leadership time is used effectively.
  • Arrange meetings across senior leaders, clients, partners, and internal teams, while resolving scheduling conflicts early.
  • Handle meeting coordination, including agendas, communications, and logistical follow-through.
  • Plan both domestic and international travel, covering itineraries and accommodations.
  • Review, process, and reconcile executive expense reports accurately and on schedule.
  • Make sure travel and expense activities follow company policies.
  • Provide support for shipping and logistics tasks when needed.
  • Assist with purchase orders, procurement submissions, and vendor coordination.
  • Support onboarding workflows, including equipment requests, asset tracking, and access setup.
  • Maintain distribution lists, headcount records, and organizational changes.
  • Help organize team meetings, offsites, morale-building events, and other group activities.
