Role Overview
In this role, you will provide senior-level administrative and operational support to executive leaders. You will act as a dependable partner focused on improving executive productivity through calendar oversight, meeting preparation, travel coordination, communication support, and cross-team coordination. The position calls for sound judgment, a high degree of professionalism, careful attention to detail, and the ability to juggle competing priorities in a fast-moving, high-growth environment.
Key Responsibilities
- Run complex executive calendars spanning multiple time zones, including meeting prioritization, conflict resolution, and shifting priorities.
- Organize internal and external meetings, leadership reviews, team gatherings, and similar business activities.
- Plan domestic and international travel, covering itineraries, lodging, transportation, and related expense coordination.
- Build and prepare agendas, presentations, supporting materials, and follow-up items for meetings.
- Handle daily operational support for executive leaders to keep work moving efficiently.
- Monitor action items, deadlines, and important deliverables to maintain accountability across stakeholders.
- Keep records, documents, and filing systems well organized and up to date.
- Treat confidential and sensitive matters with discretion and a professional approach.
- Act as a liaison between executives and internal or external contacts.
- Write, review, and refine emails, reports, presentations, and other business communications.
- Develop productive relationships across teams and functions to strengthen collaboration.
- Use good judgment to rank requests, solve scheduling issues, and escalate concerns when needed.
- Support executive offsites, leadership meetings, and cross-functional event planning.
- Use productivity and AI-enabled tools to improve organization, communication, efficiency, and administrative processes.
Qualifications
- At least 4 years of experience assisting senior leaders or executives in a fast-paced and complex business setting.
- Excellent organization, prioritization, and time-management abilities, along with strong attention to detail.
- Proven ability to manage confidential information carefully and professionally.
- Strong written and verbal communication skills.
- Ability to work independently, adjust quickly, and handle several priorities at once.
- Experience managing complex calendars, travel logistics, meetings, and executive communications.
- Comfort with collaboration and productivity platforms such as Google Workspace, Microsoft Office Suite, Slack, and similar applications.
- Hands-on experience using AI tools such as ChatGPT, Copilot, Claude, or similar systems for drafting, data analysis, prompt work, and documentation.
- Preferred background includes supporting leaders in a SaaS, technology, or high-growth company.
- Preferred experience with executive meetings, offsites, or cross-functional initiatives.
- Bachelor’s degree preferred, or an equivalent mix of education and relevant experience.

Compensation and Benefits
The expected base salary for this position is $80,000 to $140,000 per year. Compensation is determined using market data, internal equity, geography, skills, and experience. In addition to base pay, the role includes a discretionary bonus equal to 10% of annual base salary, plus a comprehensive benefits package.
