Role Overview
Kraymer Art, a rapidly expanding e-commerce jewelry brand, is seeking a seasoned Executive Assistant to enhance organizational efficiency, responsiveness, and overall operational flow. This pivotal role encompasses executive support, hiring coordination, and day-to-day operational management. We are looking for a proactive, exceptionally organized individual adept at managing a diverse workload, including executive administration, recruitment support, operational tasks, and diligent follow-through on multiple concurrent priorities. This is not an entry-level position; candidates should possess substantial experience supporting founders, executives, or dynamic teams, with a proven ability to establish order from complex information, maintain high responsiveness, and independently manage critical operational duties.
About The Role
This position is designed to alleviate the administrative and operational burden from the founder and leadership team. Your responsibilities will include managing routine administrative tasks, assisting with hiring and HR operations, structuring internal systems, and ensuring that projects, follow-ups, and critical details are consistently addressed. The role requires consistent availability and responsiveness seven days a week, not necessarily for continuous work, but for timely communication and support as needed. Flexible scheduling, such as split shifts, may be considered and discussed during the hiring process. What You’ll Do
- Offer comprehensive executive support, managing administrative tasks, coordination, follow-ups, and operational duties.
- Maintain flexible daily coverage and ensure responsiveness throughout the week to address emerging priorities.
- Take ownership of recurring administrative tasks that currently consume leadership and operational bandwidth.
- Assist with recruitment and HR coordination, including managing job postings, scheduling interviews, tracking candidates, and handling post-hire follow-ups.
- Organize workflows, trackers, documentation, and Standard Operating Procedures (SOPs) to create a centralized, accessible source of truth.
- Manage urgent ad hoc issues and ensure that subsequent action items are completed.
- Prepare and maintain essential documents, spreadsheets, task boards, internal communications, and operational tracking systems.
- Provide support for customer experience, operations, and internal team coordination as required.
- Proactively identify potential issues, missed follow-ups, or operational inefficiencies before they escalate.
- Accurately and independently manage detailed yet crucial operational tasks.
Must-Haves
- Previous experience in an Executive Assistant, Founder’s Assistant, Operations Assistant, HR Coordinator, Recruiting Coordinator, or a comparable high-trust support role.
- Significant, dedicated experience supporting founders, executives, or fast-paced teams.
- Proficiency in Notion.
- High availability, reliability, and communication skills throughout the day, with a commitment to a 7-day workweek schedule.
- Experience with tools such as Slack, Applicant Tracking Systems (ATS), and task management platforms.
- Experience supporting remote e-commerce or Direct-to-Consumer (DTC) businesses.
- Proven ability to develop SOPs, internal systems, or operational workflows.
- Experience providing support for Customer Experience (CX) or operations in conjunction with executive support duties.
