Role Summary
This full-time, on-site Executive Assistant position in Greater Boston supports senior leadership through advanced administrative, organizational, and coordination work. The role plays an important part in keeping operations running smoothly by managing schedules, arranging meetings and travel, preparing correspondence and reports, and keeping records and files well organized.
What You’ll Do
- Oversee executive calendars and coordinate meetings with multiple stakeholders.
- Arrange travel and manage related itineraries and logistics.
- Draft, format, and organize correspondence, presentations, and reports.
- Prepare, track, and reconcile expense reports and supporting documentation.
- Maintain digital and physical files, records, and other administrative materials.
- Support project coordination, follow-ups, and action item tracking.
- Act as a communication bridge between executives, internal teams, and outside partners.
- Protect sensitive information and maintain a consistently professional manner.
- Handle day-to-day administrative tasks while balancing several priorities in a busy environment.
Qualifications
- Proven strength in executive-level administration and support, including calendar coordination, meeting planning, and document preparation.
- Background in general administrative work such as filing, data entry, office organization, and routine office support.
- Ability to prepare and reconcile expense reports and manage basic financial records.
- Clear written and verbal communication skills for interacting with leadership, clients, and vendors.
- Comfort using common productivity platforms such as Microsoft Office or Google Workspace, with willingness to learn new tools.
- Strong organization, time management, and multitasking ability with a sharp eye for detail.
- Previous experience supporting executives or senior leaders in a corporate or operations setting is preferred.
- High standards of integrity, discretion, and reliability, with a strong commitment to confidentiality and team support.
