About the Role
This position is broader than a standard executive assistant role. You will work directly with the two Managing Directors and support their day-to-day effectiveness while also helping run the Berlin office environment. The role provides close exposure to leadership decisions, company building, and international operations, with room to learn and grow alongside the business.
The ideal person is a trusted partner who stays ahead of priorities, protects leaders’ time, and manages the details that keep everything running smoothly.
Executive Support
- Handle demanding calendars for both executives and align scheduling across US and European time zones.
- Arrange travel, including flights, accommodation, and visa-related logistics.
- Draft meeting packs, agendas, and briefing documents.
- Filter and prioritise incoming requests so leadership can focus on what matters most.
- Coordinate with internal colleagues and outside partners.
- Treat sensitive and confidential matters with complete professionalism and discretion.
Office Operations & Environment
- Support the daily running of the Berlin office and the overall workplace experience.
- Greet visitors and make sure guests are looked after during their time in the office.
- Keep shared spaces such as meeting rooms, kitchen areas, and common areas tidy, organised, and functional.
- Oversee office supplies, pantry replenishment, and other general workplace needs.
- Work with vendors such as facilities teams, cleaners, and delivery providers.
- Help maintain a welcoming, efficient, and well-managed office environment for the team.

Experience & Skills
- Prior experience supporting founders, CEOs, or other senior executives.
- Background in a startup or fast-growing company is a strong advantage.
- Excellent English communication skills, both written and spoken; German is beneficial.
- Strong working knowledge of Microsoft Office.
- Experience managing complex calendars across multiple time zones.
- Comfort with organising international travel arrangements.
