Its high-touch service model combines premium medical, legal, and concierge coordination, with a focus on exceptional care for a limited client base each year.
Role Summary
This full-time, on-site position in Beverly Hills, CA is for a highly organized Executive Assistant / Operations Manager who will work directly with the CEO of a boutique luxury fertility concierge company. The role is highly hands-on and in person, designed for someone who can bring structure, reliability, and precise execution to a fast-paced founder-led environment. Along with executive support, the position includes managing correspondence, coordinating meetings and events, and keeping internal systems running smoothly.
Key Responsibilities
The ideal candidate will operate as a dependable behind-the-scenes partner who keeps operations moving and ensures details are handled before issues arise.
- Oversee daily task execution, follow-ups, and shifting priorities.
- Arrange calendars, meetings, and day-to-day workflow coordination.
- Handle travel arrangements, including flights, hotels, and car pickups.
- Prepare, edit, and organize business documents and communications.
- Create and maintain operational tools such as SOPs, checklists, and trackers.
- Assist with onboarding, vendor coordination, and logistics-related processes.
- Serve as the final checkpoint for accuracy, accountability, and follow-through.
Candidate Profile
The company is looking for someone who is exceptionally organized, self-directed, and comfortable managing work independently. Strong written and verbal communication is essential, especially when interacting with high-profile clients and internal stakeholders. The right candidate should thrive in a fast-moving, founder-driven setting and handle confidential information with discretion and professionalism. Strong problem-solving, multitasking, and attention to detail are important, and prior exposure to luxury, concierge, or high-net-worth client environments is considered an advantage. Familiarity with Microsoft Office and calendar management tools is also expected.
