Role Overview
This is a full-time remote position for someone who performs well in busy, high-throughput settings and can handle administrative and operational work independently with strong accuracy. The role supports a growing commercial services business across multiple functions such as operations, billing, and customer communication. Working hours are 6:00 AM to 2:00 PM PT, which is 9:00 AM to 6:00 PM EST.
Key Responsibilities
- Manage and track administrative work across several departments, making sure every request is completed within the expected timeline.
- Enter data carefully and keep CRM records and internal systems up to date.
- Handle incoming questions from customers and team members through email and chat in a prompt, professional way.
- Organize schedules, follow-ups, and supporting documents so daily operations stay on track.
- Keep customer records, notes, and files well structured, easy to find, and current.
- Draft customer-facing reports and documentation that are clear and free from errors.
- Spot possible issues, delays, or blockers early and pass them to the right coordinator or point of contact.
- Take on other related administrative or operational tasks as needed.
Requirements
- Strong fluency in English at C1/C2 level, plus Spanish.
- Two to five years of experience in operations, administrative support, or customer-facing roles.
- Comfort with working on your own while balancing several priorities at once.
- Ability to make practical decisions and work through processes that may be incomplete or changing.
- Experience with tools such as Asana, Notion, Trello, or similar platforms is an advantage.
- Solid working knowledge of Google Workspace and Microsoft Office.
- Strong communication skills along with a problem-solving mindset.
- A quiet home office setup, stable internet of at least 10 Mbps download and 2 Mbps upload, and a backup connection.
- Bachelor's or Associate's degree is preferred.
