Role overview
KIMS Hospital in Maidstone is recruiting a full-time Reservations Administrator for its Central Bookings Team. This is a permanent position based on a 40-hour working week. The role offers a salary of £26,436.80 per year.
The successful person will coordinate booking activity across inpatient, outpatient, and imaging services by working with patients, medical secretaries, consultants, and private medical insurers. The position is central to keeping clinical services running efficiently while delivering a high standard of patient support and care.
Working pattern
The team operates on a rota covering Monday through Sunday, with schedules issued well ahead of time to support planning and work-life balance. Shift times run between 8:00am and 8:00pm, with fixed patterns such as 8:00am–4:30pm, 9:00am–5:30pm, and 11:30am–8:00pm. Weekend working is occasional, currently around one in eight weekends, although this may be adjusted slightly depending on business needs.
Key responsibilities
- Handle booking requests through phone, email, and written communication, using the required booking forms.
- Work in close partnership with internal teams and outside contacts such as consultants and medical secretaries.
- Give patients clear details about their appointments, including any instructions they need before attending.
- Arrange outpatient and radiology clinics, keep clinic lists updated, and coordinate with medical secretaries where necessary.
- Keep patient care at the centre of every booking activity and maintain a service approach focused on the patient experience.

Essential criteria
- A solid general education equivalent to 3–5 GCSEs at grade C or above.
- Confident IT ability, including Microsoft Word and Excel.
- Strong verbal and written communication skills, along with good interpersonal ability.
- Well-developed organisational skills and the ability to prioritise tasks effectively.
- Previous experience in a similar reception or administrative role with a customer-focused environment.
Desirable experience
- Medical typing or medical secretarial experience.
- Familiarity with radiology patient information and booking systems.
- Experience within a private healthcare setting.
