Team Environment

In this position, you will collaborate closely with production, design, and QA/QC teams to make sure all project documentation follows internal procedures and project standards. The role also involves supporting internal audits, maintaining orderly filing systems, and enabling efficient information flow for successful project delivery.

Key Duties

  • Keep document registers current by updating submittal and record statuses and maintaining the latest versions.
  • Circulate subcontractor submittals for internal review in line with the document distribution matrix.
  • Issue project submittals to the consultant along with the appropriate transmittal cover.
  • Scan and upload reviewed or approved submittals into the project document management system or server.
  • Prepare files with clear labelling to support full traceability of records.
  • Maintain orderly file handling and housekeeping in line with ISO 9001 filing reliability practices.
  • Use document management platforms such as Aconex, Unifier, or similar systems.
  • Store project documents and records within the approved folder structure.
  • Handle sensitive information with discretion and maintain confidentiality regarding terms and agreements.
  • Prepare ad hoc project reports when required.
  • Properly file original project documents, including construction documents, drawings, schematics, and statutory records.
  • Keep hard-copy reference materials and document libraries organized for quick retrieval.

Experience and Skills Required

The ideal candidate will bring at least 5 years of experience in document control within a construction setting, including preferably 2 years supporting a QA/QC function.

Strong organization, communication, and attention to detail are essential, along with the ability to manage confidential information responsibly. Proficiency in MS Office is also expected.

A working knowledge of joinery terminology, materials, and workflow will be helpful in this role.

Preferred Knowledge

  • Exposure to document control software and organized records management
  • Familiarity with ISO 9001 and other quality management systems
  • Experience preparing QA/QC documentation and using inspection tools
  • Ability to interpret joinery and architectural drawings
  • Awareness of HSE requirements in a factory environment
