Role Summary

Higgsfield AI is looking for a highly capable Executive Assistant to support the Chief Executive Officer/Founder and the Chief Strategy Officer/Co-founder. The position plays a central role in helping leadership work efficiently, stay organized, and keep company priorities moving forward.

This person will be deeply involved in managing executive schedules, coordinating key meetings and travel, improving communication flow, and supporting operational execution. The right candidate will be highly proactive, exceptionally organized, and comfortable working in a fast-paced environment where priorities can change quickly and discretion is essential.

The company is especially interested in candidates who have supported founders, CEOs, managing partners, or senior leaders in venture capital, private equity, management consulting, investment banking, or high-growth technology companies.

Executive Support

  • Oversee highly complex calendars across multiple time zones while balancing competing priorities.
  • Arrange domestic and international travel, including itineraries, visas, accommodations, and same-day changes when needed.
  • Provide support for in-person events and appearances, including travel participation.
  • Prepare executives for meetings by organizing agendas, briefing notes, presentations, and supporting materials.
  • Act as a strategic filter and partner in deciding which meetings, requests, and opportunities deserve attention.
  • Monitor action items and keep follow-up moving across executive meetings and company initiatives.
  • Coordinate leadership meetings, board meetings, investor meetings, and executive offsites.
  • Draft, refine, and manage executive correspondence and other communications.
  • Work closely with executives to improve efficiency, productivity, and overall effectiveness.
  • Handle sensitive and confidential information with strong judgment and care.

Cross-Functional Coordination

  • Serve as a central point of contact between executives and internal or external stakeholders.
  • Work with Finance, Legal, Recruiting, Operations, and People teams on executive-related priorities.
  • Coordinate logistics for investors, board members, customers, partners, and candidates.
  • Assist with strategic initiatives and special projects as requested by leadership.
  • Help establish structure and smooth operations in a fast-moving growth environment.

Office Operations & Workplace Support

  • Manage office logistics and liaise with workplace vendors as required.
  • Help plan and run company events, leadership offsites, and team gatherings.
  • Support hospitality for visitors, candidates, and investors.
  • Contribute to maintaining an organized, professional, and well-functioning office environment.
  • Assist with onboarding logistics and workplace coordination in partnership with People Operations and IT.

Candidate Profile

  • 3 to 6+ years of experience as an Executive Assistant supporting C-level executives, founders, managing partners, or executive leadership teams.
  • Background supporting senior leaders in Venture Capital, Private Equity, Management Consulting, Investment Banking, or hypergrowth technology companies.
  • Proven experience assisting founders or CEOs in high-speed, high-growth organizations.
  • Strong organization and project management capabilities.
  • Excellent written and verbal communication skills.
  • Sound business judgment and effective problem-solving ability.
  • Comfort handling several priorities with limited guidance.
  • High standards of professionalism, discretion, and confidentiality.

Compensation & Benefits

The expected base pay for this role is between $110,000 and $145,000, depending on experience, skills, and location. The total package also includes equity and a comprehensive benefits offering designed to support both professional and personal well-being.
