As a Planner, you will handle planning, administration, and customer liaison work for an assigned project. Your focus will be on keeping appointments, visits, and completion milestones on track, while making sure all relevant stakeholders receive timely updates.
You will also be expected to communicate regularly by email and telephone, maintain accurate records in Total Mobile, and support smooth day-to-day delivery across the project team.
Key Responsibilities
- Track appointments, site visits, and completions to ensure deadlines and turnaround times are met.
- Coordinate with the client and wider team so that everyone is informed of the latest progress and changes.
- Use email and telephone communication as part of daily liaison with residents, clients, and internal teams.
- Manage planning, administration, and customer contact tasks for the allocated project.
- Keep Total Mobile fully updated and ensure all entries are accurate to support reliable reporting.
- Log new jobs in Total Mobile.
- Contact residents to organise Validation Surveys and Post Inspection Surveys.
- Assign the correct job codes to Site Managers for Validation and Post Inspection surveys.
- Respond to client queries related to access to properties.
- Prepare letters to residents at different stages of the job workflow.
- Monitor a shared inbox, where relevant, and make sure emails needing action are handled within target times.
- Provide administrative support to the Disrepairs Team.
- Raise purchase orders when instructed.
- Attend client meetings when required.
Qualifications and Experience
We are looking for someone with either a relevant administration qualification or proven practical experience in a similar role. Background in a fast-paced environment and experience delivering a dependable, high-quality service are important.
Previous work in a customer-facing setting is required, along with good working knowledge of Microsoft Office applications, especially Outlook, Excel, and Word. An understanding of equality matters is also expected.
Equal Opportunities
United Infrastructure is committed to providing an inclusive and supportive experience for every candidate. If you need any adjustments or help to make the process more accessible, the company encourages you to share that information.
Additional Information
This role supports United Infrastructure’s wider mission to deliver innovative and sustainable solutions for the UK’s complex infrastructure needs.
