About the Role
Al-Qadsiah Saudi Club is looking for a Document Controller to help shape a bigger mission beyond sport. The role sits within an ambitious, innovative environment focused on leaving a lasting impact on Saudi sports and contributing to the nation’s sports vision.
The position is centered on keeping the club’s documents accurate, accessible, secure, and well-organized, while also providing practical support to the finance team on core administrative and reporting tasks.
Document Control
- Receive, log, route, store, and retrieve both paper-based and digital documents.
- Build and maintain a structured filing setup for contracts, invoices, project files, and official correspondence.
- Keep document versions current and consistent across all departments.
- Set up, follow, and improve document control processes and systems, whether manual or electronic.
- Protect confidential records and ensure sensitive information stays secure.
Finance Support
- Help process invoices, expense claims, and payment-related documentation.
- Support finance with data entry, filing, and maintenance of financial records.
- Prepare backing documents for monthly, quarterly, and annual reporting cycles.
- Assist in tracking budgets, expenditures, and payments made to vendors and contractors.
- Work with procurement on purchase order paperwork and related reconciliations.
- Support bank reconciliation activities and petty cash records.
General Administration
- Coordinate document-related work with different departments to keep operations running smoothly.
- Provide documents and records needed for internal and external audits.
- Assist with reports and presentations whenever required.
Requirements
The ideal candidate should hold a diploma or bachelor’s degree in Business Administration, Finance, Accounting, or a related discipline, and bring 3 to 5 years of experience in document control or administrative work with some exposure to finance-related tasks.
This position also calls for strong familiarity with MS Word, Excel, PowerPoint, document management systems, and preferably accounting tools such as SAP, Oracle, or similar platforms. A solid grasp of basic accounting concepts, excellent attention to detail, strong organization, and the ability to manage confidential information responsibly are essential. Good communication and coordination skills are also important. Fluency in English is required, and Arabic will be considered an advantage.
