Role Summary

The Human Resource Representative acts as a main contact for HR Services and Talent Acquisition coordination. This role also owns the review of criminal conviction information in background screening cases and helps guide hiring decisions to the relevant hiring manager. What You Will Do

  • Handle HR inboxes, answer questions, and route issues to the correct team.
  • Support the recruiting and hiring process from requisition setup through final offer steps, including job postings, interview scheduling, temporary staffing administration, referral awards, and new-hire onboarding activities such as background checks and relocation support.
  • Take a high volume of calls from associates at different levels and respond to common questions about payroll, benefits, leave of absence, and HR system navigation, aiming to resolve most issues on the first contact.
  • Capture information from callers, determine the right action or escalation path, and share accurate updates with the appropriate workgroup.
  • Record all inquiries in the company case management system and maintain call history and outcomes.
  • Escalate urgent or high-risk matters immediately to ensure timely handling.
  • Monitor workload and customer service requests and report on activity levels.
  • Manage assigned background screening adjudications across business units.
  • Verify applicant and associate credentials and complete individualized assessments in line with legal guidance.
  • Research candidate eligibility by contacting applicants and external sources such as schools, courts, and other third parties.
  • Decide whether a background check should be approved or rejected and communicate outcomes to clients.
  • Work with the background check vendor and vendor system to track case progress, document final results, and support service-level and performance targets.
  • Serve as a bridge between Legal, HR, and the vendor to solve issues and improve processes.
  • Enter background check data accurately into the HR case management system and prepare accurate reports.
  • Work with managers, supervisors, and recruiters to explain and report screening results.
  • Build knowledge of current background screening laws and prepare customized letters and required process documentation.
  • Complete special projects and additional duties as assigned.

Qualifications

  • A bachelor’s degree or higher is preferred.
  • At least 1 to 3 years of administrative experience is required.
  • Strong working knowledge of MS Office, especially Word and Excel.
  • Clear verbal and written communication skills with professionalism and sensitivity.
  • Strong attention to detail.
  • Ability to handle confidential and sensitive information carefully.
  • Comfort with meeting or exceeding service-level expectations.
