About the Role
Pine Glen Group is hiring for a full-time Project Coordinator in construction based in Oakville, Ontario, with work split between the head office and project sites. This is a future opportunity role focused on coordinating residential, commercial, and institutional builds with a team that combines technology, disciplined processes, and practical construction expertise.
What You’ll Do
- Set up and keep current a unit-price reference database to support quantity takeoffs and material ordering.
- Support business development initiatives and contribute leadership where opportunities arise.
- Organize project files and all correspondence for active jobs.
- Build and maintain strong working relationships with clients, consultants, and subcontractors.
- Help maintain office policies, procedures, and operating standards for the department.
- Review and refresh quantity-based contract document templates.
- Ensure quantity takeoff submissions are accurate.
- Study drawings and specifications to define scope and identify the material requirements.
- Recommend value-engineering alternatives for materials based on cost, quality, and availability.
- Lead the strategy for efficient takeoffs and identify opportunities to improve process accuracy and speed.
- Flag potential project risks to the co-owners.
- Calculate raw material costs and support estimating work.
- Complete additional drawing and takeoff assignments as directed by the co-owners.
- Perform quantity takeoffs from construction drawings.
- Maintain supporting documents for estimate figures, including supplier pricing information gathered directly from vendors, brochures, and price lists.
- Take part in tender closeouts by reviewing documents, compiling tender data, and estimating subcontracted work when needed.
- Order materials needed for sites, such as tile, plumbing fixtures, brick, and similar items.
- Prepare layouts and elevations for site supervisors and trade vendors.
- Work to ensure high customer satisfaction throughout the project.
- Handle project administration according to company policies and make effective use of company software such as BuilderTrend or similar tools.
- Represent the company professionally both internally and externally.
- Coordinate with accounting to make sure project-related accounting, especially material orders, is accurate and completed on time.
- Manage deliveries and incoming packages so items reach the correct area or team member.
- Collect client payments within the terms of the contract.
- Chair project meetings with clients and support the project manager in meetings.
- Support commercial project close-out activities, including document archiving, maintenance and warranty manuals, deficiency tracking, and warranty work.
What We’re Looking For
- At least 5 years of project coordination experience in construction, ideally across residential, commercial, or institutional work.
- A track record of delivering projects on schedule and within budget.
- Strong knowledge of construction methods, building codes, safety practices, and materials.
- Excellent organizational, problem-solving, and communication abilities.
- Strong computer literacy, including CAD and Adobe Acrobat.
- Comfort using project management software and Microsoft Office applications.
