About the Organization
Workshops for Warriors is a nonprofit established in 2008. Its purpose is to help veterans and wounded warriors transition into advanced manufacturing careers through industry-leading training, nationally recognized credentials, hands-on experience, and job placement support. The training is provided at no cost to veterans. The organization focuses on strengthening America’s advanced manufacturing workforce with a team of committed professionals dedicated to serving veterans, their families, and the broader community.
Role Overview
The Development Administrative Assistant supports the fundraising and development function with day-to-day administrative and operational work. The position helps keep calendars, meetings, donor communications, records, gift processing, and reporting organized and accurate. It is suited to someone who is highly detail-oriented, adaptable, and comfortable handling several priorities in a fast-moving, goal-oriented environment.
Key Responsibilities
This role covers calendar coordination, donor record management, reporting support, communication follow-up, and CRM maintenance, along with general office assistance for the development team.
Calendar and Office Support
- Keep development staff calendars organized by scheduling donor meetings, calls, appointments, and internal discussions.
- Handle meeting preparation and logistics, such as agendas, room bookings or virtual links, and sharing materials ahead of time.
- Assist with routine administrative work including correspondence, filing, supplies, and other daily operational tasks.
Data, CRM, and Reporting
- Update donor databases and records accurately while protecting confidentiality and following data protection requirements.
- Prepare reports and review data to help assess fundraising performance, donor behavior, and campaign results.
- Share regular progress updates and reports with the Development Office.
- Maintain detailed CRM entries such as contact details, gift history, interaction notes, and pipeline information.
Donor Communication and Gift Processing
- Draft and send acknowledgments, thank-you messages, and follow-up communications promptly.
- Accurately process incoming gifts and ensure donors receive timely acknowledgement in line with gift acceptance policies.
- Respond to donor questions by directing inquiries to the appropriate team member and following through on next steps.
Additional Responsibilities
- Take on other duties as assigned.
Qualifications
Candidates should have an Associate’s or Bachelor’s degree in Business Administration, Non-Profit Management, Communications, or a related discipline, or equivalent practical experience. The role also calls for 1 to 3 years of administrative or coordination experience, ideally gained in a nonprofit, fundraising, or development setting.
Required Skills and Abilities
The ideal candidate brings strong communication skills, advanced organization, and the ability to work independently while also collaborating well with others.

Position Details
This is a full-time, hourly, non-exempt position requiring 40+ hours per week. The base pay range for this California-based role is $25.00 to $28.00 per hour. Incentive compensation is not included in this range. Final pay will depend on skills, qualifications, experience, and location.
Benefits and Perks

Workplace Details
The dress code is business casual or relaxed business casual. The role does not have supervisory duties.
Physical Requirements
The job involves regular speaking and hearing, frequent standing, sitting, walking, hand use, and reaching. The employee must also regularly be able to push, move, lift, or otherwise carry 10 to 30 pounds. Work may include repetitive computer-based tasks performed at a desk using a keyboard, mouse, and headphones, either seated or standing.
Work Environment
This position is based in an office/administration building in an urban industrial neighborhood. Other areas of the organization may include classrooms, welding spaces, and machining areas. The workplace may also expose employees to chemical, electrical, flammable, or mechanical hazards.
