Role overview

This position provides essential operational and administrative support for the company’s worldwide ISO container maintenance activities. The role reports to the Operations & Technical Manager and serves as the main administrative support for the technical function.

The coordinator keeps the maintenance plan moving, ensures spare parts are delivered to global workshops on schedule, manages compliance records, handles insurance claim processing from start to finish, and assists with supplier contract reviews. The purpose of the role is to remove administrative, financial, operational, and compliance obstacles so technical leaders and workshop teams can concentrate on engineering and hands-on maintenance work.

Key responsibilities

The position covers maintenance tracking, documentation control, logistics coordination, claims administration, and cross-functional communication.

  • Own the daily tracking of the global maintenance plan for both regulatory and corrective maintenance.
  • Keep asset locations and container status updated at all times, including whether units are at an affiliate site, in transit, or at the workshop yard.
  • Maintain accurate maintenance tracking records by entering key milestones such as actual yard-in and yard-out dates, work start and finish dates, and live status updates for the logistics team.
  • Confirm that every administrative step is completed so maintenance cycles can be formally closed in the system after the physical work is finished.
  • Receive, process, name correctly, and file updated Bureau Veritas certificates in the shared drive after regulatory maintenance.
  • Coordinate with warehouse and technical teams to make sure spare parts are dispatched in advance to maintenance suppliers.
  • Prepare and manage shipping paperwork for spare parts, including delivery advices, commercial invoices, and certificates of origin.
  • Create purchase requisitions and goods receipt notes in the ERP system for maintenance-related activities so spending is tracked properly.
  • Open insurance claims for damaged ISO containers and collect supporting documents such as photos, incident reports, and technical assessments from relevant stakeholders.
  • Monitor active cases under the ALGH insurance process, follow reimbursement timelines, chase insurance providers, and ensure closures are correctly recorded.
  • Support review of maintenance supplier contracts by coordinating between Operations & Technical Manager, Procurement, and Legal teams.
  • Act as the communication link between Logistics and Maintenance Workshops to ensure suppliers confirm safe arrival of ISO containers at maintenance facilities.
  • Log incoming customer complaints related to ISO condition, retrieve the relevant closed maintenance reports, and forward the case to the appropriate technical lead for an official response.
  • Work with global logistics coordinators to confirm ETAs, manage depressurization instructions, and communicate when tanks are ready for operation after maintenance.

Requirements

Applicants should bring a bachelor’s or master’s degree, along with 3 to 5 years of experience in logistics coordination, supply chain administration, or asset and maintenance support. Experience with database tracking, insurance claims, or contract administration is specifically valued.
