Role Overview

This position provides crucial support for the planning and execution of initiatives and projects within the TechOps Planning department. The role ensures that all project activities align with established timelines, budgets, and compliance standards, fostering consistent planning processes across various Planning teams. You will collaborate closely with Planning management and cross-functional stakeholders to ensure planning initiatives are well-documented, progress is actively monitored, risks are identified, and implementation activities are coordinated in line with defined objectives, schedules, and governance structures.

Responsibilities

  • Oversee planning-related projects and initiatives within TechOps Planning, ensuring alignment with objectives, timelines, and priorities.
  • Monitor and track multiple Planning initiatives concurrently, managing schedules, milestones, dependencies, and action items for consistent execution and clear visibility.
  • Ensure project timelines are met and objectives are achieved by reviewing all project activities to promote alignment across Planning teams.
  • Maintain accurate project documentation, including plans, schedules, decision logs, and status reports.
  • Review project progress and performance metrics, providing insights and recommendations for optimization by identifying and addressing any issues or delays.
  • Identify opportunities for process enhancements and support continuous improvement efforts.
  • Develop and track comprehensive project plans, schedules, and budgets in collaboration with Planning managers, utilizing historical data for accuracy and efficiency.
  • Facilitate the allocation and management of project resources, ensuring optimal utilization and resolving conflicts or scheduling issues.
  • Prepare and distribute regular project status reports to stakeholders, highlighting key milestones, risks, and issues.
  • Promote effective communication and collaboration among project teams and relevant stakeholders to ensure project success.
  • Manage risk and issue logs, ensuring timely resolution and escalation when necessary.
  • Organize and participate in project meetings, preparing agendas, documenting minutes, and ensuring follow-up on action items.

Qualifications

  • Exhibit a demonstrated ability to manage and maintain precise project records and documentation.
  • Possess the capability to coordinate multiple projects simultaneously, ensuring the timely completion of key deliverables.
  • Demonstrate strong verbal and written communication skills, enabling clear updates to stakeholders at various levels.
  • Show proven ability to work effectively in a cross-functional environment, collaborating with teams across different departments.
  • Exhibit the capacity to identify potential risks or issues and contribute to developing solutions to keep projects on track.
  • Be proficient in project management software and tools such as MS Project, Smartsheet, or SharePoint.
