The Role
Infinite Aged Care is seeking a dynamic Rostering & Staffing Specialist to join the operational team at Chamberlain Gardens care home in Kariong, New South Wales. This is a permanent, full-time, onsite position reporting to the General Manager. As a key member of the leadership team, you will provide high-level administrative and customer service support to residents, families, and the care team, ensuring seamless daily operations. Your role will involve overseeing critical administrative functions, maintaining compliance with regulations, and supporting the leadership team through proactive coordination and effective communication.
Key Responsibilities
- Manage daily master rosters, including backfilling shifts and handling requests for new shifts across direct, contracting, and labor hire workforces.
- Collaborate with the corporate workforce optimization team to ensure accurate rostering system data for effective resource forecasting.
- Serve as the primary point of contact for staff regarding fortnightly allocations, roster changes, picking up shifts, and communicating available shifts, ensuring all daily positions are filled with backups.
- Lead training and manage user access for the timekeeping system, including troubleshooting.
- Maintain strict confidentiality of rostering information in accordance with company policies and code of conduct.
- Welcome new staff, conduct inductions, and provide site tours to ensure a high-quality, compassionate, and smooth onboarding experience for both employees and residents.
- Contribute significantly to continuous improvement initiatives focused on processes, engagement, resident and family experience, and systems to enhance operational efficiency.
You Will Offer
- Demonstrated expertise in advanced administrative and office management, including scheduling, document control, and workflow coordination.
- Mandatory extensive experience in rostering staff, including direct employees, contractors, and labor hire.
- Excellent communication skills for liaising effectively with residents, families, staff, and external stakeholders.
- Exceptional organizational and time management skills to effectively prioritize tasks in a fast-paced environment.
- Strong attention to detail and accuracy in data entry, reporting, and compliance tracking.
- A proactive approach to working directly with operational teams, serving as the main contact for rostering information.
- Ability to thrive in fast-paced roles, managing multiple priorities with composure.
- Exceptional interpersonal and communication skills, with meticulous attention to detail via phone, email, and in person.
- Possession of a valid NDIS Clearance or willingness to obtain one to work within the facility.
