Role Overview
The Technical Documentation Assistant for the Turnaround Section will support administrative, document control, and contractor coordination activities. This position is centered on keeping turnaround documentation organized, maintaining accurate records, and helping ensure smooth execution of large-scale industrial maintenance work. The role also requires experience with SharePoint, technical document management platforms, and HSEQ-related processes.
Key Responsibilities
- Offer administrative and operational assistance as assigned by the Head of Turnaround Section and the Contract Coordinator.
- Keep the Turnaround Section contractor correspondence register up to date so that all external communications are recorded, monitored, and formally closed without delay.
- Maintain the internal correspondence register for the Turnaround Section, ensuring in-house communication is logged, followed through, and closed with no pending backlog.
- Work with the Head of Turnaround to arrange recurring section meetings, document the minutes, and track section KPIs as well as training and safety records.
- Collect and share technical references, standards, and related documentation as needed.
- Support lump-sum contractors with administrative coordination, including preparation of meeting minutes and review of submitted documents.
- Use SharePoint and other document control systems to manage workflow, strengthen documentation control, and support compliance and quality requirements.
- Handle gate pass requests for manpower, materials, vehicles, and similar items through the HSEQ Portal.
- Raise, follow up, and monitor the validity of requests for porta cabins, tool containers, and other contractor needs.
- Protect sensitive records by maintaining confidentiality and following approval procedures before sharing any information.
- Coordinate with the Facilities & Services Section to ensure the Turnaround Section has adequate stationery supplies.
- Maintain a tidy, well-organized office environment within the Turnaround Section.
Requirements
- A Technical Diploma or graduate-level qualification, or an equivalent credential, is required.
- The candidate should be physically strong, energetic, and self-motivated.
- Strong English communication skills in both spoken and written form are essential.
- A minimum of 5 years of direct, relevant experience in a Technical Documentation Assistant role within document control is required.
- Experience in the Oil & Gas or Petrochemical sector is preferred.
Additional Information
This role requires careful handling of confidential information, adherence to approval workflows, and active coordination across internal teams and contractors. The work environment is onsite in Doha, Qatar, and the position is intended to support turnaround operations and associated industrial maintenance activities.
