Job description
Role Overview
This position supports a research team with day-to-day administration, coordination, and logistics tasks in an office setting in Singapore.
Key Duties
- Help the research team with administrative work such as arranging room and equipment setup, preparing refreshments for visitors, drafting payment-related documents, handling webchat, taking notes, and producing reports.
- Manage incoming calls, organize meetings and events, and receive visitors at the office.
- Support logistics for temporary staff, including issuing and collecting equipment.
- Handle bookings for resources such as calendars, meeting rooms, equipment, flights, and accommodation.
- Liaise with internal teams across Business Development, Finance, HR, and Design.
- Track equipment readiness, coordinate repairs and maintenance, maintain inventory records, and assess new equipment needs.
- Work with external suppliers such as couriers, printing services, translation providers, letter shopping services, and vendors for lucky draw prizes.
Requirements
- Minimum qualification of O Levels or higher.
- Comfortable using Microsoft Word, Excel, and PowerPoint.
- Strong spoken and written English, plus proficiency in a second language.
- Good interpersonal, communication, and organisational abilities.
- Able to work on your own and collaborate effectively in a team.
- Capable of meeting deadlines and working under time constraints.
- Detail-oriented with solid problem-solving skills.
