Role overview

NS Dental Care is seeking an administrative assistant to support day-to-day office coordination and help keep internal processes running smoothly at the Markham, Ontario location.

Core duties

  • Create, update, and carry out office policies and procedures.
  • Prepare minutes for meetings, seminars, and conferences.
  • Build and maintain efficient office routines and workflows.
  • Arrange appointments and confirm schedules.
  • Handle incoming phone calls, relay messages, and route calls appropriately.
  • Review employee-related data and information.
  • Respond to electronic enquiries.
  • Gather data, statistics, and other relevant information.
  • Address employee questions and complaints in a professional manner.
  • Order office supplies and track inventory levels.
  • Welcome visitors and direct them to the right contacts or service areas.
  • Maintain both paper-based and digital filing systems.
  • Draft, format, and proofread correspondence, forms, and other documents.
  • Complete data entry tasks accurately.
  • Support customer service needs.
  • Help plan, organize, direct, control, and assess daily operations.

Education and experience

A secondary school graduation certificate or an equivalent combination of education and experience is required. The role calls for 7 months to less than 1 year of relevant experience.

Language

English is required for this position.

Computer skills

Working knowledge of MS Office is needed.

Work setting and conditions

This is an on-site position, which means all work must be performed at the physical workplace in Markham. Remote work is not available.

The role is set in a fast-paced environment and may involve working under pressure, repetitive tasks, and a strong need for accuracy and attention to detail.
