Role overview
This opportunity is being handled on behalf of a partner employer, which will manage applications and the rest of the hiring process. The employer is seeking an Administrative Support Specialist (Secret Cleared) located in the United States.
The position combines standard administrative coordination with light creative and design-related work. You will help keep day-to-day operations running smoothly by managing calendars, organizing records, and supporting efficient workflows across teams. In parallel, you will help produce and improve presentations, reports, and communications using design software. The role calls for excellent attention to detail, flexibility, and the ability to juggle multiple priorities in a structured setting. You will communicate with both internal teams and outside contacts while maintaining polished, well-organized deliverables. This is a hybrid position with remote flexibility and national travel requirements, so it suits someone who is proactive and adaptable. A current Secret clearance, or higher, is required for this work.
Key accountabilities
- Deliver broad administrative assistance, including managing calendars, setting up meetings, and arranging travel.
- Draft, format, and refine reports, presentations, correspondence, and other business documents.
- Use Adobe Creative Suite or comparable software to create and enhance visual content for presentations, internal messaging, and marketing materials.
- Keep digital files, records, and documentation well structured for easy retrieval and compliance.
- Help develop visual materials for proposals, reports, newsletters, and other communications.
- Support data entry, tracking, and reporting tasks in Microsoft Office tools such as Word, Excel, PowerPoint, and Outlook.
- Handle logistics for meetings, events, and team activities to ensure smooth execution.
- Act as a polished point of contact for both internal and external stakeholders.
- Check documents carefully for accuracy, consistency, formatting, and brand alignment.
- Carry out general office administration, including supply tracking and support for ongoing team projects.
Requirements
- An active Secret clearance, or a higher level of clearance, is required.
- Prior experience in administrative support, executive assistance, or office coordination.
- Working familiarity with Adobe Creative Suite tools such as InDesign, Illustrator, and Photoshop, or similar design platforms.
- Strong capability with Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
- Well-developed organizational skills and the ability to manage several tasks and deadlines at once.
- Strong focus on detail and a consistent commitment to producing accurate, polished work.
- Ability to communicate professionally with internal teams and outside stakeholders.
- A proactive, flexible approach and comfort balancing administrative and creative work.
- Experience preparing documents, formatting materials, and designing presentations is highly desirable.
- Ability to manage sensitive information with discretion and professionalism.
