Role overview
GarancieChex is hiring a Background Screening Analyst to provide accurate, prompt and compliant screening services for clients and candidates. In this position, you will oversee candidate case files, confirm information, coordinate with candidates, clients and third parties, and complete screening work in line with client instructions, internal procedures, data protection requirements and service expectations.
Key responsibilities
- Handle candidate cases from the first stage through to closure, keeping work on track with deadlines and turnaround commitments.
- Check candidate details and supporting documents for completeness, correctness and appropriateness.
- Issue, monitor and follow up on requests for references, verification evidence and other supporting information.
- Log actions, updates, outcomes, conclusions and screening results in the case management platform.
- Carry out criminal record checks and other background screening tasks according to the relevant procedures.
- Draft final screening reports and route them for review or completion as needed.
- When authorised, release completed reports to clients according to agreed processes.
- Keep clients and candidates informed, answer queries and help progress overdue matters.
- Refer overdue, sensitive, complex or potentially negative cases to the appropriate senior team member or manager.
- Assist teammates with case cover when needed and take part in ongoing service improvement work.
Compliance, quality and data protection
- Protect personal information in line with UK GDPR, the Data Protection Act 2018 and company policy.
- Access, use and share candidate data only when there is a valid business reason to do so.
- Follow written procedures for consent, identity checks, screening activities, escalation and reporting.
- Keep clear audit records and report possible data breaches, complaints or compliance issues without delay.
Skills and experience
- Competence with computers, including Microsoft Office, email, web-based systems and online research tools.
- Strong English writing and speaking ability, with excellent accuracy and organisational discipline.
- Capability to manage several cases at once, follow set procedures consistently and work independently while escalating appropriately.
- A steady, practical approach to resolving incomplete, unclear or conflicting information.
- Professional, polite communication when dealing with clients, candidates and external contacts.
Qualifications
Minimum GCSE level, or an equivalent qualification, in English and Maths is required, along with solid general IT literacy.
Previous experience in background screening, referencing, compliance, recruitment, HR administration, customer service, vetting, regulated services or professional services would be an advantage.
Key working relationships
Internal contacts include the Account Manager, Operations Manager, Senior Background Screening Analyst, Team Leader, Vendor Manager, Finance, Compliance and Operations Director. External contacts include clients, candidates, referees, educational institutions, former employers, professional bodies, screening vendors and third-party data providers.
