About the role
This position suits someone who wants to learn how a business really operates by being directly involved in the meetings and decisions that shape it. You will sit across the organisation’s recurring operating cadence, including daily and twice-daily stand-ups, weekly planning and deep-dive sessions, and monthly committee meetings. Your job will be to capture the discussion accurately, log actions and deadlines, keep owners accountable, and convert the output into reporting that leadership can use immediately without having to follow up themselves.
The company works through a defined, consistent rhythm across engineering, infrastructure, risk, legal, compliance, and commercial functions. That approach only works when it is carefully documented and the links between meetings are maintained, so this role is central to keeping everything connected.
The work is detail-heavy and repetitive in places, with responsibility for minutes, action logs, tracker maintenance, and follow-ups. It requires accuracy, discipline, and strong ownership. In return, it offers broad exposure to how different parts of the business operate together, building a cross-functional understanding that can create a pathway into more senior analyst, delivery, and project-focused roles.
You will also take end-to-end ownership of recurring operational routines, including running the committee and meeting cycle, managing action tracking and reporting, and keeping document repositories organised and current. By doing this well, you reduce the administrative burden on senior leadership and allow them to focus on strategy rather than process maintenance.
Responsibilities
- Join meetings with stakeholders across several functions, sometimes multiple teams in one day, and record the discussion, decisions, and action items clearly and in real time.
- Keep a reliable master tracker that shows each action owner, deadline, and status so commitments are easy to monitor.
- Check in with owners between meetings and chase updates in advance, ensuring meeting time is spent resolving blockers and making decisions rather than reviewing status.
- Summarise outcomes into concise reporting and meaningful insights for senior leadership and the executive committee.
- Identify recurring issues in the action log, such as delays, bottlenecks, and deadlines piling up, and raise them before they escalate.
- Own recurring operational processes from start to finish, including the committee cadence, action tracking, reporting, and document/repository management.
- Reduce routine operational workload for senior leaders so they can focus on business direction and strategy.
- Continuously refine the workflows you manage by tightening, documenting, and simplifying them for reliability and scale.
- Maintain shared trackers, repositories, and documentation so they remain organised, current, and ready for review or audit.
- Support the rollout and consistent adoption of the operating model across additional teams.
Requirements
- A strong people-focused, service-oriented approach, with the ability to build rapport quickly with technical, senior, and cross-functional stakeholders.
- Excellent listening skills, with the ability to understand fast-moving or unfamiliar discussions and isolate the key decision, action, owner, and risk.
- High attention to detail and dependable follow-through on repetitive, recurring work; accuracy and completeness should come naturally.
- Comfort switching between different teams, topics, and communication styles throughout the day without losing track of the details.
- Professional judgement and discretion when handling sensitive commercial, technical, and people-related information.
- Curiosity about how a business functions end to end, along with motivation to develop into a broader role over time.
