Role Overview

Libeara is hiring a Client Services and Operations Associate to manage and support everyday client onboarding, transaction handling, fund and platform operations, and control-related operational work across the business.

This position is best suited to someone who is highly organised, detail-focused, and comfortable operating in a tightly controlled environment where documentation, audit readiness, and regulatory standards matter. The role will help ensure that daily processes are executed correctly and punctually, risks are managed appropriately, and workflows continue to improve as the business and regulatory landscape evolve.

Key Responsibilities

  • Carry out daily operational activities accurately and on schedule while following internal procedures and control requirements.
  • Support the processing, monitoring, and completion of subscriptions, redemptions, transfers, trades, and related transaction activity.
  • Keep operational logs, records, and supporting documentation complete and up to date.
  • Respond to client and internal queries on transaction progress, trade matters, and operational issues, and help resolve concerns quickly.
  • Identify issues, breaks, and exceptions early and coordinate timely resolution with the relevant teams.
  • Help ensure operational risk is managed by working within approved controls, policies, and risk limits.
  • Maintain supervisory controls and keep them documented and available for management, compliance, and audit review.
  • Support the operations risk register and help with risk and control self-assessments to monitor control effectiveness.
  • Ensure trades and transaction handling follow applicable regulatory, compliance, and internal risk requirements.
  • Assist in spotting control weaknesses, process gaps, and operational risk exposures, and support remediation work.
  • Maintain records and processes that meet internal control standards and support successful internal and external audits.
  • Prepare audit materials by ensuring evidence, reconciliations, approvals, and documentation are accurate, complete, and easy to retrieve.
  • Support regulatory obligations by coordinating responses, gathering information, and following up on actions with compliance, management, and regulators where needed.
  • Work with internal stakeholders to keep operations ready for changing governance and regulatory expectations.
  • Update SOPs, process notes, and end-to-end workflow documents so they reflect current practices and control needs.
  • Look for ways to improve operational efficiency, accuracy, scalability, and control strength.
  • Contribute to improvements in systems and workflows that support new products, clients, business needs, and regulations.
  • Help standardise and strengthen onboarding, transaction support, controls, and reporting processes.
  • Support production verification testing to confirm systems function correctly after deployment.
  • Coordinate onboarding and account opening for Accredited Investors and Institutional Investors.
  • Perform periodic Customer Due Diligence reviews for existing clients, carry out Enhanced Customer Due Diligence where needed, and follow internal and regulatory standards.
  • Run client screening checks, including sanctions, Politically Exposed Person, and adverse media / negative news screening.
  • Work with front office teams on CDD requirements, identify missing or incomplete onboarding documents, and follow up on remediation.
  • Maintain records and databases that support annual FATCA and CRS reporting obligations.
  • Serve as a reliable coordinator for day-to-day operational matters and help uphold a high standard of client service.

Required Experience and Capabilities

  • 2 to 5 years of experience in operations, client services, fund operations, trade support, middle office, onboarding, or a similar financial services or fintech operations role.
  • Strong eye for detail and the ability to complete recurring work accurately and within deadlines.
  • Experience working in a controlled environment with audit, compliance, and regulatory expectations.
  • Good understanding of operational risk, process controls, and the value of documentation and evidence.
  • Comfortable managing trackers, SOPs, process maps, and transaction records.
  • Strong written and spoken communication skills, with the ability to coordinate across multiple internal and external stakeholders.
  • Proactive, organised, and able to work effectively in a fast-moving environment with changing systems and workflows.

Preferred Experience

  • Background in fund operations, capital markets, investment operations, wealth platforms, or fintech operations.
  • Exposure to client onboarding, KYC/AML, reconciliations, transaction support, and audit or compliance workflows.
  • Experience supporting audits, regulatory reviews, or control testing activities.
  • Familiarity with digital assets, tokenised products, or technology-enabled financial products.
  • Previous involvement with product and engineering teams on testing and implementation work.

  • Day-to-day operational tasks are completed accurately, on time, and with the correct supporting records.
  • Operational controls are clearly maintained and evidenced for management, compliance, and audit purposes.
  • Client and transaction queries are handled quickly and correctly.
  • Risk issues, control gaps, and process exceptions are detected early and dealt with appropriately.
  • SOPs and process documentation stay current and match real end-to-end workflows.
  • The operations team helps build stronger systems, better controls, and more scalable processes over time.

Candidate Profile

The ideal applicant is detail-oriented, dependable, and comfortable handling work that requires accuracy, coordination, and strong process discipline. Experience in regulated financial operations, onboarding, controls, and client servicing will be especially relevant.
