Role Overview
This Data Entry Specialist position sits at the center of the sales process, helping keep information accurate, paperwork complete, and internal teams aligned. The role partners closely with sales, operations, and student success so Enrollment Managers can focus on guiding and converting prospective students. It is a high-ownership, high-visibility opportunity for an early-career professional who values precision, consistency, and fast follow-through. The job requires working from the New York City office in Gramercy five days per week.
Deal Administration and Contract Handling
- Prepare, distribute, and monitor client contracts and related enrollment documents through the entire signature process.
- Follow up quickly with clients and Enrollment Managers so agreements are completed before services begin.
- Keep contract records, amendments, and client files organized and up to date.
CRM and Pipeline Management
- Maintain daily accuracy and cleanliness of the CRM, including contacts, deals, products, and tickets in HubSpot.
- Update records promptly so teams always work with the latest information.
- Track the full journey from inquiry to enrollment and highlight bottlenecks or drop-offs for sales leadership.
Data Quality and Integrity
- Review CRM data regularly by removing duplicates, enforcing mandatory fields, and correcting outdated or malformed records.
- Establish and uphold standards that keep reporting reliable across the funnel.
- Create validation rules, required-field controls, and automated checks to block poor-quality data entry.
- Compare CRM information with billing, contract, and enrollment systems to identify and resolve mismatches.
- Document field definitions, naming conventions, and usage rules for the team.
Payments and Billing Operations
- Reconcile payment activity in Stripe and PaySimple so transactions are recorded correctly.
- Manage follow-up on overdue balances, including reminders, client coordination, and escalation when needed.
- Work with leadership to improve payment policies, installment structures, and billing processes as the company grows.
- Handle failed payments, disputes, and refund requests professionally and on time.
Reporting, Process Improvement, and Collaboration
- Generate lists, standard reports, and accurate operational data for sales operations leadership.
- Record workflows, playbooks, and SOPs and identify ways to simplify operations as the team expands.
- Support evaluation and rollout of sales tools and integrations that reduce manual work and improve productivity.
- Stay informed about CRM updates, AI tools, and other technologies that can improve efficiency.
- Collaborate closely with sales, operations, and student success to ensure smooth handoffs and correct attribution.
- Provide ongoing administrative and data entry support, including assistance with onboarding new sales operations tools.

You should be comfortable working with contracts, payments, CRM data, and collections follow-up in a fast-moving startup environment. Location and Work Setup
This is an on-site role based in New York, NY, with required in-office attendance five days per week at the company’s Gramercy office.
Compensation
The stated annual salary for this role is $75,000.
