Role Overview
AECOM is looking for an experienced Document Controller to join its Transportation team in Dublin, supporting a large group of professionals working across roads, public transport, and greenways. The role is focused on managing project documentation effectively across multiple transportation assignments.
You will be the main contact for documentation-related queries, oversee document storage and sharing, support the wider document control function, help implement document control tools, and guide junior team members to maintain consistent practices. The role also involves keeping records accurate, improving workflows, and ensuring documentation is handled efficiently throughout the project lifecycle.
Responsibilities
- Track document creation, filing, and retrieval in a central repository so records remain well organised and easy to access.
- Set up and improve version control methods to ensure teams use the latest documents while preserving previous revisions for reference.
- Keep document versions accurate, consistent, and properly revised.
- Coordinate the release of documents to internal teams and external parties so information is shared correctly and on time.
- Make sure all documentation follows company procedures, industry expectations, and applicable regulatory requirements, including the correct use of approved templates and formats.
- Control access permissions so sensitive information is available only to authorised people.
- Work closely with team members, stakeholders, and vendors to support smooth document exchange and updates.
- Manage review and approval cycles to keep revisions moving efficiently through the right channels.
- Maintain complete audit trails covering revisions, approvals, and distribution activity.
- Prepare and review reports on document status, activity, and compliance to assist management decisions.
- Spot opportunities to improve document control systems and workflows and help implement better practices.
- Prioritise work effectively to meet deadlines and handle document flow across different project stages.
- Resolve complex document management issues quickly and effectively when they arise.
- Support and mentor junior document controllers to help the team work consistently and efficiently.
- Carry out any other related duties or tasks as needed.
Requirements
- At least 5 years of experience overall, including 3 or more years specialising in document control.
- Proven experience handling document control for projects, ideally large and complex assignments.
- Working knowledge of quality management and process improvement practices, preferably in the construction sector.
- Strong background in document control work related to compliance, quality, and policy adherence.
- Hands-on experience with document management systems, databases, and related software tools.
