Job description

Role Overview

This position calls for an organized and detail-focused document controller to oversee the full lifecycle of technical and commercial records for fire protection and life safety projects. The role ensures that document control processes are applied correctly and consistently in line with project specifications, consultant expectations, client needs, and internal procedures.

Key Responsibilities

  • Handle and update all project records, including drawings, material submittals, method statements, RFIs, MIRs, IRs, technical proposals, reports, testing and commissioning files, O&M manuals, warranties, and as-built documents.
  • Manage the creation, revision, tracking, filing, release, and storage of documents connected to Fire Alarm, Fire Fighting, Clean Agent, Kitchen Hood, Emergency Lighting, Public Address, Gas Suppression, Foam, and Fire Pump systems.
  • Ensure every incoming and outgoing document is logged, tracked, circulated, and stored according to the project’s document control process.
  • Work closely with project managers, engineers, site staff, consultants, contractors, suppliers, and clients to coordinate submissions and approvals.
  • Track material submittals, shop drawings, consultant reviews, and project communications, and follow up to keep work moving on schedule.
  • Keep current registers for RFIs, submittals, transmittals, inspections, testing and commissioning records, NCRs, and closeout files.
  • Prepare complete handover packages, including warranties, compliance certificates, test records, and operation and maintenance manuals.
  • Maintain compliance with NFPA requirements, Civil Defense regulations, UL/FM approvals, project specifications, and consultant conditions.
  • Protect the confidentiality, accuracy, and audit trail of all technical and project records.
  • Provide documentation and administrative support to tendering, estimation, and project execution teams as needed.

Qualifications and Requirements

  • A bachelor’s degree or diploma in Business Administration, Engineering, Document Management, or a similar field is required.
  • Experience of 3 to 5 years in document control for Fire Fighting, Fire Alarm, or MEP projects is needed.
  • Sound understanding of fire protection systems and the document workflow used in projects is important.
  • Strong working knowledge of MS Office tools, including Excel, Word, Outlook, Adobe PDF, SharePoint, or comparable document control platforms is expected.
  • Excellent organization, communication, and time management abilities are necessary.
  • The ability to stay effective under pressure and manage several submissions at once is essential.
  • Familiarity with Saudi Civil Defense requirements, NFPA standards, and closeout documentation is strongly preferred.
