Role Overview

As an Event Specialist, you will take ownership of planning, coordinating, and delivering immersive live experiences. The role covers large trade show booths, pop-up brand activations, press events, and private gatherings for gaming clients. You will work in a fast-moving environment that combines conventions, live production, and fandom-driven experiences.

Key Responsibilities

  • Own the planning, production, and on-site delivery of booths at major conventions, gaming expos, and trade shows.
  • Coordinate pop-up events, influencer gatherings, launch celebrations, and private client activations.
  • Manage vendors across AV, fabrication, staging, equipment, and event staffing.
  • Partner with creative teams to shape immersive concepts, signage, and experiential elements.
  • Prepare event timelines, run-of-show documents, packing lists, and operational plans for event day.
  • Track event budgets and complete expense reconciliation after events.
  • Confirm technical setup for demos, including game builds, PCs or consoles, controllers, streaming equipment, and network needs.
  • Assess risk, safety, and compliance requirements for installations and live operations.
  • Represent KanaRey and its client brands professionally throughout the event lifecycle.
  • Collect performance data and prepare post-event recap reports with findings and recommendations.

Requirements

  • 2 to 4+ years of experience in an event specialist, producer, booth manager, or experiential coordination role.
  • Proven background managing booths or installations at large trade shows, conventions, or similar events.
  • Solid knowledge of video game hardware, PC/console/mobile platforms, and technical setup processes.
  • Strong interest in anime, video games, fandom culture, and pop culture.
  • Excellent communication abilities and vendor coordination experience.
  • Willingness to travel often and work extended on-site hours during event periods.
  • Highly organized, attentive to detail, and proactive in fast-paced settings.
  • Preferred exposure to entertainment, gaming, or technology events.
  • Helpful familiarity with AV systems, lighting, sound, and staging basics.
  • Bilingual Japanese and English skills are an advantage.
  • Experience in experiential marketing or creative production is preferred.
