Role Purpose
In this role, you will serve as a key support partner to executive leaders and their teams, helping business operations run smoothly and keeping priorities on track. The position requires you to anticipate needs, resolve administrative and operational issues early, and adapt quickly as priorities shift. You will also work with sensitive, strategic, and confidential information, so discretion and sound judgment are essential.
This position supports the Chief Development Officer, the SVP of External Affairs, and the SVP of Commercial Management, along with their teams. The scope of support may change depending on business needs.
Key Responsibilities
- Coordinate complex executive calendars in Outlook by reviewing requests, prioritizing commitments, and offering scheduling guidance; when needed, reschedule or decline meetings based on strategic importance, confidential matters, or business impact.
- Arrange meetings involving multiple stakeholders, support leadership meetings with note-taking and action-item follow-up, and help ensure executives are well prepared and punctual.
- Track deadlines and team deliverables, identify possible project or operational risks, and recommend timing, resourcing, or escalation options to leadership.
- Plan and manage team meetings, all-hands sessions, and One Pattern Weeks, including agenda preparation, logistics, administrative coordination, confidentiality handling, and partnership with the WOE team for the best employee experience.
- Organize domestic and international travel, prepare itineraries, assist with logistics and visa-related support, and process travel expenses based on traveler direction while applying judgment to balance cost, policy, and business needs.
- Support timely expense review and submission in Concur, spot inconsistencies or potential issues before submission, and assist with reviewing team expenses and managing leader or team morale budgets.
- Handle additional personal or ad hoc tasks as needed.

The ideal candidate brings strong administrative judgment, excellent communication skills, and the ability to work confidently with people across the organization. You should be polished, service-oriented, and comfortable representing executives with professionalism to internal teams, vendors, and outside partners. The role also calls for adaptability, precision, and the ability to work effectively in uncertain or fast-changing situations.
Required Skills and Experience
- Intermediate ability with Microsoft Office tools such as PowerPoint, Word, and Excel, plus collaboration platforms like SharePoint and OneDrive or similar Office 365 tools.
- Comfort learning new technology quickly, including internal systems and software.
- Prior experience coordinating and managing travel arrangements.
- Working knowledge of company policies and procedures and the ability to apply them in day-to-day support work.
- Professional, approachable, and polished manner with a strong service mindset.
- Ability to communicate clearly in both spoken and written form.
- High level of discretion and strong judgment when handling confidential information.
- Strong attention to detail while keeping broader business priorities in view.

Compensation and Benefits
The expected base salary range for this position is USD 80,000 to USD 108,000 annually. Final pay may vary depending on location, experience, certifications, and education. For full-time employees, the compensation program also includes a bonus structure.
