Overview
This part-time Executive Assistant position is based in Sydney and involves supporting two General Managers within the Business Banking division of a leading Australian financial institution. The role entails providing high-level administrative assistance to three senior leaders, contributing to a cohesive and professional workplace.
About the Business Banking Division
The division offers diverse services and solutions tailored to small to medium enterprises, regional and agribusiness, and corporate clients. Specialist Sales & Client Solutions caters to verticals such as Healthcare, Professional Services, Defence, Real Estate, Hospitality, and Environmental & Social sectors including Indigenous Business, alongside specialist products and payment options.
Key Responsibilities
- Deliver professional administrative, secretarial, and business support with discretion and attention to detail.
- Manage complex, fast-paced diaries and email inboxes, prioritizing according to business needs.
- Prepare, draft, and coordinate correspondence on behalf of General Managers.
- Schedule and organize internal and external meetings with senior stakeholders and executives.
- Generate meeting agendas, briefing materials, and packs to facilitate informed decision-making.
- Support meeting facilitation through minute-taking, tracking action items, and following up to ensure completion.
- Serve as the primary liaison among senior stakeholders, executive assistants, and wider teams.
- Foster strong, trusted relationships to enable smooth coordination and collaboration across the organisation.
- Organize complex travel plans, managing logistics and itineraries involving multiple locations and participants.
- Adapt flexibly to changing requirements and provide occasional assistance to other Executive Assistants as needed.
Required Experience and Skills
- Previous experience as an Executive Assistant is essential.
- Strong stakeholder management skills with the capability to establish trust and rapport across various groups.
- A proactive approach paired with meticulous attention to detail and dedication to superior service.
- Capability to manage multiple priorities effectively, thrive under pressure, and adjust to change seamlessly.
- High standards of professionalism, discretion, and integrity.
- Experience within a Big 4 bank or accounting firm is highly regarded.
