Job description
Role Overview
This position supports senior leadership with high-level administrative and executive coordination. The role is designed to keep schedules organized, communications flowing smoothly, and daily business activities running efficiently. You will act as a dependable partner to the executive, helping enable timely decisions, strong cross-team coordination, and well-managed operations.
Executive Support
- Oversee the executive’s calendar, meetings, appointments, and day-to-day schedule.
- Manage competing priorities and ensure the most important commitments are handled first.
- Handle incoming emails, calls, and correspondence on behalf of the executive.
- Create meeting briefs, agendas, and relevant background notes in advance.
Meeting and Event Coordination
- Organize internal and external meetings involving multiple stakeholders.
- Build agendas, prepare presentations, and assemble supporting documents.
- Capture meeting minutes and follow up on action items to keep work moving.
- Support board meetings, leadership sessions, and executive-level events.
Travel Management
- Coordinate business travel within the country and overseas, covering flights, stays, visas, transport, and full itineraries.
- Develop detailed travel plans and make sure all arrangements are completed without gaps.
- Manage travel expenses and reimbursement processing.
Documentation and Reporting
- Prepare presentations, reports, proposals, and executive-level written correspondence.
- Keep records, confidential files, and documentation systems well structured and easy to access.
- Write polished emails, letters, and formal communication as needed.
- Assemble management reports and dashboards when requested.
Stakeholder Coordination
- Serve as the main liaison between the executive and both internal and external contacts.
- Work closely with clients, business partners, government bodies, and senior leaders.
- Maintain professional communication and ensure prompt follow-through.
Project Coordination
- Assist in tracking strategic initiatives and important business projects.
- Monitor timelines, milestones, and deliverables.
- Coordinate with different teams to help tasks get completed on time.
Office Administration
- Handle administrative tasks connected to the executive office.
- Coordinate with vendors, service providers, and internal teams.
- Support event planning, executive visits, and corporate functions when required.
Confidentiality and Governance
- Manage sensitive business information with care, professionalism, and discretion.
- Keep executive documents and communications secure.
- Follow company policies and administrative procedures consistently.
Problem Solving and Support
- Stay ahead of the executive’s needs and resolve administrative issues proactively.
- Carry out research and collect information to help with business decisions.
- Suggest ways to improve administrative processes and executive workflows.
