Role Overview
The Executive Assistant plays a pivotal administrative and operational support role for the Managing Director and Resort Manager at Rosewood AMAALA, ensuring smooth daily management of the Executive Office. This position acts as a crucial communication hub between senior management, internal teams, ownership, and external stakeholders, upholding confidentiality and high standards of professionalism.
Primary Responsibilities
- Deliver proactive administrative support including managing complex calendars, scheduling, and prioritization of appointments for senior leaders.
- Oversee all forms of correspondence, screening emails, phone calls, and visitor inquiries while maintaining confidentiality of sensitive information.
- Organize and coordinate Executive Committee and leadership meetings, including setting agendas, preparing presentations, taking minutes, and tracking action items.
- Prepare professional reports, presentations, dashboards, and briefing materials for management review with accurate formatting and timely submission.
- Arrange comprehensive travel plans including international and domestic flights, accommodations, and local transport for senior executives.
- Coordinate executive visits, VIP receptions, ownership engagements, corporate meetings, and internal events to ensure flawless execution.
- Serve as liaison between the Executive Office, department heads, owners, consultants, government authorities, and external partners to facilitate communication and progress.
- Support strategic activities such as business planning, budgeting, operational reporting, pre-opening projects, and cross-functional initiatives.
- Maintain strict confidentiality and compliance with company policies concerning data privacy and document retention.
Required Qualifications
- Bachelor’s degree in Business Administration, Hospitality Management, or related field.
- 3 to 5 years of executive assistant or equivalent experience, ideally in luxury hospitality.
- Saudi Nationals only.
- Strong organizational skills with the ability to juggle multiple priorities effectively.
- Excellent written and verbal communications, strong in business correspondence.
- Advanced skills in Microsoft Outlook, Word, Excel, and PowerPoint.
