OuterSignal is developing a customer intelligence layer for commerce. The platform goes beyond standard order data to reveal richer context about buyers, including professional and personal signals. It helps brands understand who their customers are, build personas, support outreach and email strategy, surface analytics, and generate business development leads. The company is a small, high-performing team building a category-defining product for e-commerce customer intelligence and is supported by a strong investor group.
Role Overview
OuterSignal is seeking an Executive Assistant to the CEO. This is a high-trust position at the heart of daily company operations. You will work directly with the CEO while also helping the broader executive team stay organized, coordinated, and moving quickly.
This role is suited to someone who takes initiative, stays ahead of needs, and handles complex logistics with calm judgment. It is not a passive calendar-management role; success means anticipating issues, building better systems, and helping the leadership team work more effectively.
Key Responsibilities
- Own the CEO’s calendar, travel plans, and communications, using sound judgment to protect priorities and handle confidential matters carefully.
- Coordinate scheduling, logistics, and operational support for the wider executive team across different functions.
- Organize company events and off-sites, including leadership retreats and all-hands meetings, managing the process from planning through execution.
- Draft and assemble materials for meetings, such as agendas, briefing notes, and post-meeting follow-ups.
- Coordinate with vendors, track expenses, and manage administrative processes that support the leadership team’s efficiency.
- Act as a dependable contact for internal and external stakeholders interacting with the CEO’s office.
- Spot weaknesses in executive workflows and create practical processes to improve them.
What We’re Looking For
- At least 3 years of experience supporting a senior executive or leadership team in a fast-paced environment; startup or high-growth background is strongly preferred.
- Excellent organization and the ability to juggle multiple priorities without losing track of details.
- Strong business writing skills, with the ability to communicate on behalf of the CEO while matching tone and intent.
- High emotional intelligence and the ability to manage sensitive situations with tact and discretion.
- A proactive working style, with a habit of solving problems early and raising concerns before they escalate.
- Must be based in New York City and able to work in person as required.
