Role overview
National Bank of Canada is looking for an Executive Assistant to support the Vice-President & Head of Ontario within the Commercial & Private Banking team. This position is focused on coordinating complex administrative work, helping leadership stay organized, and strengthening alignment and execution across the team.
Key responsibilities
- Take ownership of a busy executive calendar by managing priorities across multiple stakeholders and keeping schedules optimized.
- Arrange and support leadership meetings and committee sessions, including preparing agendas, collecting documentation, and tracking follow-up actions.
- Handle inbox support by sorting communications, anticipating needs, and prioritizing what needs attention first.
- Organize business travel and related logistics to ensure smooth and efficient arrangements.
- Prepare, review, and validate expense claims, approvals, and other administrative workflows carefully and accurately.
- Serve as an important point of contact between the Vice-President and internal or external partners to support collaboration.
- Assist with the coordination of major events, client-facing activities, and strategic projects.
- Manage onboarding, exits, and internal administrative requests such as IT access, tools, and reporting, while protecting confidential information.

Prerequisites
- Post-secondary education completed, along with at least 3 years of experience in an Executive Assistant or senior administrative position.
- Comfort handling demanding, high-volume priorities independently.
- Strong command of Microsoft 365 applications, including Outlook, Excel, PowerPoint, and Teams.
- Well-developed skills in organization, communication, and prioritization.
- A high level of discretion, sound judgment, and professional conduct.
- Ability to build relationships and work effectively with others.
