The Opportunity
We are seeking a highly capable Executive Assistant to provide comprehensive support to our two Co-Founders. This pivotal role demands a blend of sophisticated business assistance and meticulous personal support, requiring a high degree of trust and visibility. You will collaborate with an existing Executive Assistant who supports the COO, CFO, and general office operations, sharing coverage responsibilities as needed. This position reports to the COO and is directly accountable to the Co-Founders. The role is approximately 60% business-focused and 40% personal-focused, requiring an individual who excels in both areas and approaches every task with equal dedication and precision, from coordinating board meetings to arranging personal engagements.
Responsibilities
- Manage complex and dynamic calendars for both Co-Founders, encompassing internal and external meetings, board commitments, and external events.
- Oversee the end-to-end coordination of meetings, including booking conference rooms, setting up video conferencing, distributing materials, and tracking follow-ups.
- Arrange all aspects of domestic and international travel, including private jet charters, commercial flights, accommodations, ground transportation, and compiling detailed itineraries.
- Prepare and submit expense reports accurately and punctually.
- Act as a professional and courteous initial point of contact for limited partners, portfolio company CEOs, advisors, and other senior external stakeholders.
- Draft and meticulously proofread correspondence on behalf of the Co-Founders.
- Maintain and update contact records, assisting with CRM upkeep.
- Collaborate with the office EA on visitor management, catering arrangements, vendor relations, and other firm-wide administrative needs.
- Provide ad-hoc project support as required.
- Undertake occasional travel to assist with major events such as annual meetings or team retreats.
- Manage the personal calendars of the Co-Founders in conjunction with their families and household staff.
- Liaise directly with spouses on family scheduling, event planning, and special projects.
- Coordinate logistics across multiple residences, including managing vendors, deliveries, and household-related tasks.
- Assist with children's school-related logistics, activities, appointments, and associated family scheduling.
- Plan and book comprehensive vacation itineraries, working with travel agents to secure accommodations, dining, activities, and travel arrangements.
- Arrange private jet services for both business and personal travel needs.
- Handle personal errands, gift procurement, reservations, and appointment scheduling.
Requirements
- Possess a minimum of four years of experience providing executive support, preferably with at least one year supporting a principal in a high-paced setting. Prior experience in financial services is advantageous but not mandatory.
- Demonstrate exceptional judgment, discretion, and the ability to handle highly sensitive and confidential information with utmost care.
- Exhibit a proactive, 'no-job-too-small' attitude, taking ownership of minor details to ensure a superior support experience.
- Proficient with technology, including Microsoft 365 and/or Google Workspace, CRM systems, video conferencing tools, and expense management software, with a demonstrated ability to quickly learn new platforms.
- Possess excellent written and verbal communication skills.
- Exhibit the capacity to anticipate needs, think proactively, and maintain composure when priorities change.
- Present a warm, approachable, and professional demeanor that positively represents the Co-Founders and the firm.
- Be available reliably during evenings and weekends for urgent matters, with an understanding that efforts are made to maintain a reasonable balance.
- Display strong organizational skills, meticulous attention to detail, and a commitment to completing all assigned tasks thoroughly.

Eligibility
