Job description
Role Overview
This position provides senior-level administrative, strategic, and operational assistance to the CEO. The aim is to keep executive priorities organized, communication flowing smoothly, and coordination across teams running efficiently.
Executive Support
- Oversee the CEO’s calendar, meetings, and appointments so time is allocated effectively and priorities are handled in the right order.
- Prepare meeting packs, including agendas, presentations, reports, and other briefing documents.
- Treat confidential and sensitive matters with a high degree of professionalism and discretion.
- Serve as the main contact for the CEO with colleagues, partners, and outside stakeholders.
- Review, organize, and respond to incoming emails, calls, and correspondence on the CEO’s behalf.
- Create, refine, and proofread reports, presentations, and official communications.
- Support clear communication between the CEO, senior leaders, departments, and external counterparts.
- Arrange travel plans for local and international trips, including schedules, itineraries, and logistics.
- Maintain follow-up trackers for action items and deliverables from leadership discussions.
- Assist with board meetings, executive committee meetings, and leadership events.
- Keep records, files, and documentation systems accurate and well maintained.
- Help monitor strategic priorities and business initiatives assigned to the CEO’s office.
- Research information, prepare summaries, and compile insights to support decisions.
- Coordinate cross-functional activities and help ensure important initiatives are completed on schedule.
- Develop and maintain effective working relationships with key internal and external contacts.
- Represent the CEO’s office in a polished and professional manner in all interactions.
- Promote smooth collaboration between departments and leadership functions.
Qualifications & Experience
- A bachelor’s degree in Business Administration, Management, or a related discipline is required.
- Applicants should have 3 to 7 years of experience in an Executive Assistant role or a comparable senior support position.
- Prior experience supporting C-level leaders is strongly preferred.
- Experience in corporate governance or coordination at board level would be considered an advantage.
