Responsibilities
- Provide comprehensive administrative support across various departments, including meticulous data entry, document preparation, and organized filing.
- Orchestrate the scheduling of meetings, conferences, and appointments, ensuring seamless coordination.
- Manage and maintain office supplies inventory, ensuring adequate stock levels.
- Collaborate with the Talent Team to facilitate employee seating arrangements.
- Liaise with messengers and runners for the timely delivery of client, vendor, and governmental documents, such as invoices.
- Follow up diligently on talent-related tasks to ensure prompt completion.
- Coordinate with the finance team to manage all invoices, expenses, and purchase orders (POs).
- Oversee office-related tasks with office assistants as needed.
- Issue all expense POs and accurately register invoices.
- Draft manual invoices as required.
- Establish new expense vendors and clients within the company's system.
- Track and report on office attendance and rotation plans.
- Arrange all aspects of employee travel, including flights, accommodation, transportation, and visa processing.
- Prepare detailed travel itineraries and ensure all necessary travel documentation is in order.
- Monitor and reconcile travel expenses, ensuring adherence to company policies.
- Serve as a primary point of contact for clients, employees, and visitors, addressing inquiries and providing essential information.
- Manage the distribution of incoming and outgoing mail and packages.
- Support management in calendar management, scheduling appointments and meetings efficiently.
Qualifications
Prior experience in a similar operational or administrative role is advantageous.
