Job description

Role Overview

This part-time receptionist role is centered on welcoming guests, handling incoming calls, and supporting front-desk administrative tasks within the reception and administrative area. The position is strictly clerical and does not include any clinical responsibilities of any kind.

Key Duties

  • Offer broad administrative and clerical assistance as needed.
  • Receive patients, clients, and visitors with a warm, professional, and positive approach.
  • Manage incoming phone calls, take messages, and route calls appropriately.
  • Register visitors and guide or accompany them to the correct destination.
  • Notify relevant staff about visitor arrivals and any cancellations.
  • Keep an accurate visitor sign-in record.
  • Process both incoming and outgoing mail.
  • Arrange appointments and keep meeting room schedules up to date.
  • Maintain a neat and organized reception area.
  • Complete other related tasks as assigned.
  • Commit to safeguarding resident protected health information and immediately report any suspected or confirmed privacy breaches to the Administrator.
  • Protect the confidentiality of all resident care records, including protected health information, and report any known or suspected unauthorized disclosure.

Supervision

This role does not include supervisory responsibilities.

Qualifications

A minimum of a high school diploma or GED is required. Prior experience in administration or a receptionist role is preferred.

Skills and Knowledge

Applicants should be able to read and interpret general business documents, professional publications, technical instructions, and government regulations. Strong written communication is needed for reports, business correspondence, and procedures, along with the ability to present information clearly and respond to questions from managers and employees. Basic math skills involving fractions, percentages, ratios, and proportions are necessary. The role also calls for practical problem-solving ability, sound judgment in situations with limited standardization, and the capacity to understand written, verbal, diagram-based, or schedule-based instructions. Working knowledge of Microsoft Office tools, clerical processes, and multiline telephone systems is essential.

Physical Requirements

The job may require occasional lifting or moving of up to 25 pounds. Extended computer use is part of the role, and the employee will regularly sit, stand, walk, speak, listen, and read. Frequent use of office equipment such as a copier, scanner, fax machine, telephone, and calculator is expected. No travel is required.

Work Environment

The environment is typically quiet to moderately noisy.
