This role is located at the company’s Sydney headquarters in Millers Point, New South Wales.
About the role
DroneShield is seeking a meticulous Payroll Coordinator to join its Finance team. Reporting to the Head of Payroll, the role supports end-to-end payroll operations across Australian and US employees. It is a practical, detail-focused position for someone who values accuracy, is comfortable working across several payroll systems, and enjoys refining processes.
Key responsibilities
- Assist the Head of Payroll with monthly payroll runs, including commissions and bonus payments.
- Work with external payroll vendors to support payroll processing for teams in Australia and the United States.
- Maintain and administer payroll platforms such as Rippling, ADP, and Deel.
- Oversee Employer of Record arrangements through Deel and help ensure payments are made correctly and on time.
- Handle termination-related payroll processing in line with legal and statutory obligations.
- Support compliance with superannuation requirements.
- Assist with reconciling annual PAYG reporting against ATO Single Touch Payroll submissions.
- Support month-end payroll reconciliation and reporting activities.
- Keep employee payroll and personal records accurate and up to date.
- Prepare monthly reports showing outstanding annual leave balances.
- Manage filings and submissions to government bodies, ensuring taxes, contributions, and benefits are reported correctly.
- Review and approve invoices submitted by independent contractors.
- Act as the first contact point for general payroll questions from employees and managers.
- Provide basic administrative support in Rippling for the wider team.
- Assist with workers’ compensation payment processing.
- Look for opportunities to simplify, automate, and improve payroll workflows.
- Partner with People Operations, Legal, and Finance on payroll changes, policies, and procedures.
- Document payroll processes and update standard operating procedures where needed.
- Support cross-functional projects and team initiatives as required.
Requirements
- A tertiary qualification in Payroll, Human Resources, Finance, or another related discipline.
- 2 to 3 years of payroll processing experience, preferably with Australian payroll exposure.
- Working knowledge of Modern Awards and payroll legislation.
- Hands-on experience with payroll systems such as Rippling, ADP, Deel, or similar tools.
- Strong attention to detail and a high level of accuracy.
- Clear written and verbal communication skills.
- Ability to work independently and collaborate effectively with a distributed team.
- Willingness to occasionally work outside standard hours to support global payroll schedules.
- Preferred: exposure to payroll across multiple countries.
- Preferred: experience using Employer of Record platforms.
- Preferred: familiarity with workers’ compensation processes.
- Preferred: a mindset geared toward improving processes and reducing manual effort.
