Role overview

We are looking for a seasoned and polished Private Assistant to provide senior-level personal support, concierge-type assistance, estate coordination, and administrative control across a wide variety of private matters. This position calls for outstanding organisation, sound judgement, and a strong ability to manage confidential issues with complete discretion, professionalism, and precision.

The role will help ensure seamless management of personal affairs, household needs, VIP-related arrangements, and private administration.

Key responsibilities

  • Serve as the main contact for personal and private matters.
  • Manage sensitive and confidential information with full discretion and professionalism.
  • Coordinate a broad range of personal tasks and ensure they are completed efficiently and on time.
  • Monitor VIP relationships and correspondence, and assist with relationship management by keeping track of important occasions, milestones, and events.
  • Arrange personal travel, including flight bookings, hotel stays, and related logistics.
  • Support private insurance-related administration, including vehicle registration, renewals, and associated paperwork.

Estate and household oversight

  • Oversee private properties to ensure they remain maintained, functional, and secure.
  • Manage household and estate staff, including support with hiring, onboarding, payroll, scheduling, and performance tracking.
  • Coordinate with external vendors and service providers for maintenance, renovations, and other property requirements.
  • Work with internal and external stakeholders on private procurement and household needs.
  • Assist in the daily administration and upkeep of private residences and related assets.

Financial administration

  • Help coordinate and administer financial matters connected to personal, household, and private expenses.
  • Support the organisation and tracking of records and documents related to private spending, as needed.

Documentation and approvals

  • Keep personal records current, including passports, visas, Emirates IDs, and other important documents.
  • Maintain a well-organised and regularly updated database of key contacts, suppliers, and vendors.
  • Review and coordinate preliminary approvals related to private matters.

Qualifications and experience

The ideal candidate will have a bachelor’s degree in a relevant field such as Business Management, Hospitality, Estate Management, or a similar discipline. Prior experience in a comparable role is required, ideally in support of a high-net-worth individual, family office, or VIP setting.

You should understand the level of professionalism, discretion, and service expected in a private household or executive support environment. Strong command of English and Arabic is essential, with Arabic being mandatory.
