Job description

Role overview

The Procurement Officer will be responsible for keeping inventory levels healthy and ensuring the business has the materials, products, and equipment required for smooth operations. This role combines store management, purchasing coordination, supplier engagement, and procurement support across multiple functions.

Key duties

  • Run the storeroom in line with company procedures and internal standards.
  • Monitor stock balances and raise purchase requests through the company’s internal system when replenishment is needed.
  • Follow up on orders and make sure deliveries arrive on schedule.
  • Accept deliveries, unload items, and arrange supplies neatly in storage.
  • Check the quality of purchased goods and manage any returns or claims if issues arise.
  • Keep accurate records of purchases, delivery details, receipts, and invoices.
  • Prepare purchase-related reports, including spend and consumption analysis as well as monthly inventory summaries.
  • Identify possible suppliers and collect quotations or offers.
  • Handle procurement activities end to end, including vendor sourcing, purchase orders, reporting, vendor coordination, and cost control.
  • Work with internal stakeholders to understand purchasing needs for goods and services.
  • Source materials and services that comply with company quality requirements and local regulatory standards.
  • Support purchasing needs across logistics, kitchen, lounge, warehouse, document imaging, and storage operations.
  • Source and buy F&B and OS&E items according to specifications, quality expectations, and timelines.
  • Coordinate closely with the group procurement team to ensure policies, guidelines, and procurement standards are followed.
  • Work with other departments and stakeholders to support project deliverables.
  • Take ownership of procurement work in-country and assist with coordination across related activities.
  • Maintain purchase documentation and supplier information in an organized and accurate manner.
  • Support additional coordination tasks and other ad hoc projects as assigned.

Additional information

This position requires a hands-on approach to inventory control, purchasing administration, supplier management, and cross-functional coordination. It also involves ensuring that purchased items meet both internal quality expectations and applicable government requirements.
