Role overview
This position sits at the heart of a busy project setting, helping people stay connected, organised, and supported so daily work can run smoothly. You will partner closely with project leaders and the broader team to keep operations on track and ensure important details are handled well.
The role is very hands-on and supports a large multidisciplinary team. You will take responsibility for the project office and help coordinate how the team works each day, including schedule alignment, workshop preparation, and onboarding new starters. This opportunity suits someone who is organised, proactive, and comfortable balancing multiple people and priorities.
Key duties
- Coordinate calendars, leave plans, and travel arrangements so team availability is clear.
- Support meetings, communication flow, and general team coordination.
- Keep team structures accurate and information easy to find and use.
- Provide dependable, responsive support to project leaders and team members.
- Manage shared email groups, schedules, and coordination touchpoints.
- Maintain tidy digital filing systems and project documentation.
- Oversee the everyday running of the project office.
- Handle supplies, deliveries, and workspace preparation.
- Arrange seating plans and assist visiting staff and consultants.
- Plan and coordinate workshops from preparation through delivery.
- Organise team events, celebrations, and informal gatherings.
- Support onboarding so new team members settle in quickly.
- Help foster a welcoming, inclusive environment across the studio.
- Keep people connected across teams and locations.
- Contribute to a collaborative and positive studio culture.
What you should bring
You should have experience in coordination, team support, or a PA/EA position. Strong organisational ability and close attention to detail are important, along with confidence using Microsoft Outlook and Teams to manage calendars and communication.
You will need to communicate clearly and professionally, work calmly and practically, and be comfortable taking initiative with limited direction.
Experience in a design studio or professional services environment would be an advantage. Familiarity with Adobe InDesign for basic document formatting and experience handling digital files and records would also be useful.
