Civil Project Solutions Limited (CPS) is an expanding project management business that started in 2013 and operates from Gisborne and Queenstown. The company manages construction projects from initial concept through to completion, with a strong focus on safety, quality, and cost control so work is delivered on schedule and within budget. CPS has built broad capability across demanding projects, including fuel storage facilities, cool store facilities, infrastructure maintenance, and residential and commercial developments.

Role Overview

CPS is seeking an organised and flexible Project Administrator to support its Project Management, Planning, and Survey teams. The position offers exposure to the full project lifecycle through close collaboration with delivery teams, the accounts team, senior managers, and directors. For someone looking to build a long-term career in project management, this role may serve as a practical entry point for growth within the business.

Key Responsibilities

  • Support the preparation of tenders, proposals, and short-form agreements.
  • Help produce contracts and claims, track work in progress, and respond to client and general administration queries.
  • Maintain and strengthen internal quality assurance processes to keep project delivery consistent.
  • Receive and process supplier quotations and contracts, and manage supplier invoices with accurate cost tracking.
  • Assist the Office Manager, Management Accountant, and General Manager with business and board reporting.

About You

The ideal candidate is highly organised, thorough, and comfortable working across a multi-disciplinary environment. You should enjoy working with project and invoice data, turning it into useful recommendations for stakeholders, and bring strong numerical accuracy plus clear communication and interpersonal skills. A willingness to ask questions, acknowledge mistakes, and learn from a supportive senior team is important. Experience in administration, coordination, or project support is required, with construction-sector exposure considered an advantage. Confidence using MS Office is essential, and familiarity with time management or accounting software would be beneficial.

Working Arrangement

This is a full-time, on-site position based in Gisborne. Remote or hybrid working is not available. Salary and working hours will be based on the successful candidate’s experience.
