Role overview
Al-Futtaim Automotive is looking for a well-organized and commercially minded Sales Coordinator to keep showroom sales operations running smoothly in Saudi Arabia. The role supports the full sales process, from documentation and customer follow-up to handover coordination and reporting, while keeping Sales, Finance, Logistics, Registration, and Aftersales aligned.
This position is key to protecting conversion rates, shortening delivery timelines, maintaining clean data in CRM and ERP systems, and helping the showroom deliver a strong customer experience while meeting monthly sales targets.
Key responsibilities
- Support daily showroom sales activity with structured administrative assistance for Sales Consultants and the Sales Manager.
- Prepare quotations, sales orders, proforma invoices, and delivery paperwork accurately and within required timelines.
- Keep track of vehicle availability, stock allocation, and sales pipeline updates in coordination with the inventory team.
- Monitor the booking-to-delivery process and help remove delays that affect customer handover.
- Maintain customer records, lead progression, and pipeline information in the CRM platform.
- Follow up on customer questions, test drive arrangements, bookings, and pending documents.
- Ensure all customer information is complete, correct, and aligned with internal data standards.
- Coordinate with Finance on payment confirmation, deal approval, and completion of documentation.
- Work with Registration, Insurance, Logistics, Aftersales, and PDI teams to ensure vehicles are delivered on time and in compliance with requirements.
- Prepare daily, weekly, and monthly reports covering bookings, deliveries, stock position, and target performance.
- Support forecasting, dashboard updates, and other commercial reports for the Sales Manager.
- Keep CRM and ERP data accurate to support dependable reporting and management visibility.
- Track KPIs related to documentation turnaround, delivery lead times, and pipeline conversion.
- Ensure all transactions follow company policies, brand standards, and KSA automotive regulations.
- Maintain documentation discipline, audit readiness, and internal control compliance.
- Assist with showroom campaigns, customer events, product launches, test drives, and seasonal promotions.
- Help prepare customer-facing materials and keep the showroom presentation-ready.
Requirements
- Bachelor’s degree in business administration, sales, marketing, or a closely related discipline is preferred.
- Diploma holders with strong experience in automotive sales coordination will also be considered.
- Between 1 and 4 years of experience in sales coordination, sales support, or dealership operations is required.
- Background in the automotive sector is highly desirable.
- Practical experience using CRM systems and ERP platforms such as SAP, Oracle, Autoline, Kerridge, or similar is expected.
- Knowledge of sales reporting tools and dashboard preparation is important.
- Familiarity with vehicle registration, insurance, and delivery processes in KSA will be an advantage.
- Understanding of automotive finance and insurance coordination is a plus.
- Strong organization, multitasking, and workload management skills are essential.
- Clear communication, strong interpersonal ability, and a high level of attention to detail are needed.
- Proficiency in Microsoft Excel, Word, and PowerPoint is required.
- Ability to work under pressure, meet deadlines, and support month-end closing activities is necessary.
