Role Overview
KBH is seeking a full-time Scheduling Coordinator to support scheduling operations across multiple clinical locations. This role is centered on coordinating client and provider reschedules, maximizing clinician utilization, maintaining accurate billing and timekeeping records, and helping the team meet medically recommended service hours through timely rescheduling. The position is generally aligned to an 8:00 am–5:00 pm ET schedule, with occasional coverage needed for a 6:00 am–3:00 pm ET shift when a team member is out of office, such as for PTO.
Scheduling Responsibilities
- Enter client and staff scheduling updates carefully to keep records accurate and complete.
- Coordinate staff substitutions so open shifts can be covered when clinicians call out, including arranging replacements when appropriate.
- Support same-day absence coverage to reduce interruptions in service delivery.
Data Management and Payroll Support
- Use CentralReach practice management software to manage scheduling across all clinical service locations.
- Maintain and update availability and service schedules for hourly clinicians.
- Review records for employees who have left the company or are on leave and adjust CentralReach calendars accordingly.
- Assist payroll-related processes by completing timely CentralReach conversions and timesheet audits.
- Check CentralReach code usage and PTO records to support correct payroll processing and utilization tracking.
Communication and Process Improvement
- Deliver a positive experience through kind, prompt, and clear communication with families, clinicians, and other stakeholders.
- Help implement scheduling-related process improvements and collaborate on better approaches to time-off and coverage management.
Essential Qualifications
- Strong relationship-building skills with current and prospective clients, clinical staff, and other stakeholders.
- Excellent listening skills and the ability to communicate clearly in writing and speaking, whether the topic is simple or complex.
- Highly organized, structured, and detail-focused, with a practical approach to solving problems.
- Comfortable handling difficult conversations with urgency and professionalism, with strong emotional intelligence.
- Self-directed, proactive, and able to manage several tasks or projects at once.
- Capable of working independently in a fast-paced environment with a solutions-first mindset.
- Ability to protect client privacy and confidentiality in line with HIPAA requirements.
- Proficiency with CentralReach and Microsoft Office tools, including Word, Excel, Outlook, and Teams.
Role Requirements
- Preferred bachelor’s degree.
- Previous exposure to working with clients and providers in a healthcare environment is desired.
- Prior familiarity with ABA services, autism services, or the CentralReach platform is strongly preferred.
- Must be located in the East Coast time zone.
