Role Overview
An established private family office is hiring a meticulous Travel Administrator to manage worldwide travel arrangements for a UHNWI household. This position calls for someone who has handled premium, highly complex travel plans and can operate with complete discretion, adaptability, and accuracy.
What You Will Do
- Take charge of planning, arranging, and delivering travel for the principal, family members, and invited guests.
- Book private jets as well as first- and business-class commercial flights.
- Source and secure luxury stays such as villas, hotels, and serviced apartments.
- Coordinate chauffeured transport, security support, and concierge assistance across destinations.
- Create detailed itineraries covering each day of travel, including backup plans for contingencies.
- Work closely with personal assistants, house managers, security personnel, and outside vendors.
- Track the validity of passports, visas, permits, and other travel documents to ensure everything is current.
- Respond quickly to disruptions and revise travel plans as needed in real time.
- Nurture relationships with preferred luxury travel partners and negotiate favorable pricing.
- Manage travel budgets, reporting, and expense records.
- Handle logistics for larger groups, events, and special celebrations.
- Protect privacy and confidentiality while ensuring smooth execution from start to finish.
Requirements
- Demonstrated background managing travel for UHNWI, VIP, or other high-profile individuals.
- A well-developed network across luxury travel, aviation, and hospitality.
- Strong knowledge of private aviation arrangements.
- Excellent planning, coordination, and multitasking abilities.
- Comfortable performing under pressure and adjusting rapidly to late changes.
- Strict commitment to discretion and confidentiality.
- Hands-on experience with travel booking platforms and itinerary tools.
- Willingness to work outside standard hours and remain on call when needed.
- Strong verbal and written communication, along with negotiation skills.
- Additional language skills are considered an advantage.
- Background in a private household, family office, or luxury concierge environment is preferred.
- Experience organizing travel across multiple time zones and legal jurisdictions is preferred.
- Familiarity with visa requirements for frequent travelers is preferred.
- Professional qualities expected include strong attention to detail, a calm approach, a problem-solving mindset, service orientation, and a polished manner.
Compensation and Benefits
- Compensation starts at AED 12,000 per month, depending on experience.
- Visa support and medical insurance are included.
- This is an in-person role based in Dubai.
